Profile Management – An Overview

Oracle Fusion Profile Management provides a framework for

developing and managing talent profiles.

Profiles summarizes the qualifications & skills of a person or

a workspace structure such as a job or a position.

Profiles management enables a user to perform the following

activities : -

Track workers skills, competencies and accomplishments.

Define the required or desired skills, degrees & other qualifications

of jobs and positions.

Manage talent related activities.

(Career planning, identifying training needs, performance

management).

Profile Management – An Overview

Nomenclatures : -

Content Library : A foundation for profiles as it stores both content types

and content items.

Content Type : A set of attributes for a worker, job or a position.

e.g. languages, competencies etc.

Content Items : A individual quality, skill or a qualification within a content

type.

Content Subscriber : Applications external to Oracle Fusion Profile

Management that use content types.

Educational Establishment : A college, university or other school that

workers use when they add educational information such as degrees etc to

their profile.

Person Profile : A collection of a workers skills, qualifications, educational

background etc.

Model Profile : A collection of work requirements, required skills &

qualifications of a workforce structure.

Profile Type : A template for a person that is built using content types.

Rating Models : A scale used to measure the performance and proficiency

of the workers.

All on-going maintenance activities can be performed

from - The profiles work area & the profile management

cards within the person gallery.

Using the profile management work area, users can

access the following tasks :-

Define talent profile settings tasks.

Define talent profile content tasks.

Define talent profile tasks.

Regular maintenance tasks help the users to :-

Manage Model Profiles.

Search Profiles.

a) All initial setup activities are performed using the Functional Setup Manager (FSM).

Profile Management – Configure Talent Profiles

Setup tasks under the talent profiles setting task allow the

users to :-

Manage workforce profile lookups.

Manage talent notifications.

Manage workforce profiles descriptive fields.

Profile Lookup’s

Lookup’s are list of values in an application.

HR talent lookup’s fall under two major customization levels : -

Extensible lookup’s.

User defined lookup’s.

Some commonly used look up types and their descriptions : -

HRT_CONTENT_SUPP_CODE - Code to identify where the content type originated from i.e. either a customer or a third party.

HR specialists generally assign supplier codes when setting up new content types. (E)

HRT_COMPETENCY_EVAL_TYPE - Handles the types of competency ratings such as self, supervisor or peer. Evaluation types are

used in the instance qualifier sets to identify the role of the person who provided the competency rating to the worker. (U)

HRT_DEGREE_LEVEL - Manages the levels of education (bachelor’s degree or masters degree) for a job or a position profile. (U)

HRT_DURATION – Manages the time periods when the worker would like to make a career move. Workers select the duration of their

career moves within their career preferences.(U)

HRT_EDUCATION_LEVEL – Manages the type of education that a degree provides such as bachelor’s degree or a one year diploma

course etc. HR specialists generally use education levels when creating content items within the degree’s content type. (U)

HRT_IMPORTANCE - Values for the importance level of each content type. These values help the system while performing the best fit

analysis. (U)

HRT_PAY_FREQUENCY - Manages the frequencies in which the workers are paid. Workers can specify a pay frequency when they edit

their work requirements. (U)

Profile Lookup’s

Some commonly used look up types and their descriptions : -

HRT_READINESS - Code to identify the time frame by which the worker will be ready for an advancement to a specified job, position or

profile. Managers and HR specialists use this lookup while editing the talent rating information on their workers career planning cards. (U)

HRT_RISK_REASON - Handles the types of risks as to why a worker may leave the organization. (U)

HRT_SATISFACTION_METHOD - Methods by which competency is verified, such as assessments or demonstrations. Managers and HR

specialists use these values to identify the method that was used for evaluating a person’s skill or proficiency.(U)

HRT_TRAVEL_FREQUENCY - Percentages of the time that is required by a worker to travel for his job or position e.g. 25 % or 50%.

Managers & HR specialists can specify the travel required while workers also have the control to mention their travel frequency on the job

or profile.(U)

HRT_VALIDITY_PERIOD - Periods of time for which content items such as licenses & qualifications remain valid. (U)

HRT_WORK_DAYS - Manages the work days required for a job or a position e.g. Monday – Friday. (U)

HRT_WORK_HOURS - Manages the values required for the work hours for a specific position or a job e.g. 9.00am to 5.00pm etc.(U)

**Note Before :-

a) Users cannot delete lookup’s which are extensible.

b) Users are advised to modify the lookup’s as appropriate to suit the enterprises requirements.

Profile Management Notifications

Users can use the profile management notification task to enable notifications for profile management, performance

management, goal management & talent management.

These notifications inform :-

The manager when the worker changes his/her profile

The worker when there is a job profile in his/her interest within his profile card.

**Note Before :-

a) Using this task, users can only specify whether to send the notifications. They is a restriction to change the text of the notifications sent.

Content Library

Content Library – The Foundation of Oracle Fusion

Profile Management.

The content library contains content types and other content

items which are pre-seeded.

Some of the common content types include :-

Competencies.

Languages.

Degrees etc.

**Note Before :-

a) Users can add content types and items to better suit your enterprises

requirements.

Content Types

Content Types – The content library contains predefined

content types such as competencies, degrees &

languages.

Common content types which users track using this profile

are :-

Skills.

Qualities.

Qualifications.

The content type page contains 3 on screen tabs :-

Field Properties - Users can configure the fields to be

displayed while setting up content items and attributes for those

fields.

Relationships - These are associations between the content

types, where one content type acts as a parent to the other or

where one content type supports the other.

Subscribers - Users can use this tab to see the other

Oracle Fusion applications which use content types.

**Note Before :-

a) Users can create new content types as and when needed.

b) Users can also create free form content types.

Content Types - Properties

Content Type Properties – Represent the information that you want to capture for the content types. They are the

fields and attributes which appear when you add content items for a content type.

These are the set of attributes that users can set for each field which you want to include in the content type : -

Label - Lets you enter a label for the field.

Default Value - Lets you enter the value that appears by default.

Required - If selected, the user will have to mandatorily enter data in the field.

Display - Lets you decide whether the field is editable, hidden or display only.

Source - Helps you select the name of the look up type that provides values for the field.

Content Items

Content Items – Are the individual skills, qualities

and qualifications within the content types in a

content library.

For e.g. within the competency content type,

communication becomes a content item.

Content item properties -

Properties : Content items inherit the field and field

properties that the user defines for the content type.

Related Content Items : If the content type which the

user is creating has related content types, then they can

enter the related content for that attribute.

For e.g. Content Type : Building relationships is

supported by Goals content type. Then on the content

items for competencies, users can enter the related

goals.

Proficiency Descriptions : Used when the content item

has a rating model associated with the content type.

Users can either use the existing descriptions within the

rating model or can define specific descriptions which

can be specific to that content item.

**Note Before :-

a) Best practice states that when ratings are given for the content

items, the descriptions defined for the item are used instead of those

on the rating model.

Educational Establishments

Educational Establishments - Used to help workers

add educational establishments to their work profile.

Includes lists of schools, universities and colleges.

**Note Before :-

a) Educational establishments can be user defined if the university

name etc does not appear in the pre-seeded list available.

Rating Models

Used to rate workers on their performance and their level

of proficiency in the skills and qualities that are setup on

their person profile.

To rate the workers, users can attach rating models to

the content types that are included in the person profile.

For e g. workers can be rated on their communication

content which is a part of the competency content type.

Ratings given by model profiles can be used to identify

the best person suited to fill a position.

**Note Before :-

a) Users can also use rating models to specify target proficiency levels for item on a model profile. These model profiles can then be compared to a worker’s profile to

identify gaps in skills that they need to fill before applying for other positions.

b) Rating models that measures a workers potentials and help impact the risk of loss are also available.

Rating Models - Components

Depending on the use of the rating model implied, the rating model may include some or all of the following

components : -

Rating Levels : Rating levels help identify the qualitative values such as 1, 2, 3, 4 that users may use to rate or score a worker’s performance

(1 being the lowest). The rating levels use the average calculation method help determine numeric rating patterns for the workers.

Review Points : Users can use this to define review points and point ranges that help define and calculate ratings. These review points can also be

utilized in performance documents that use the sum or band calculative methods.

Rating Categories : Rating categories enable the users to group the rating levels together for analysis tools which are used during the talent review

process.

Distributions : Both Oracle Performance Management & Oracle Compensation Management use rating models to help compute respective ratings. The

ratings are in the form of targeted minimum and maximum percentage of workers that should be given a respective rating level.

**Note Before :-

a) Compensation management uses distribution values that users set up directly within the rating models.

b) Rating models to be used in the performance management module, can be set up using the performance template in the rating model distribution page.

Setup Talent Profiles – Manage Profile Types

Profile types includes both the person profile and the respective

model profile types.

The properties for a person profile type are :-

It provides a template that you use to create profiles for your workers.

Has all skills, qualities and qualifications that users would want to track for their

workers.

The model profile types help identify :-

Targeted and required skills and qualifications for a job or a position.

Work requirements such as travel frequency and work schedule.

**Note Before :-

a) The person profile types are pre-defined.

b) Model profiles are user defined. Hence multiple model profile types can be set up.

Setup Talent Profiles – Profile Type Contents

Profile types contain multiple content types. The various sections are as under :-

Sections – Content types in the profile management section are known as content sections. Users can associate multiple content types from the content library

and even include free form types.

Section Properties – Properties inherited from the content type associated. These can be changed to meet the enterprise requirements.

Seeded Sections – Pre seeded sections which are associated with the other Oracle Fusion products that use profile types. For e.g. Career potential, performance

ratings, are some of the sections that are a used by other applications and are mandatory and cannot be deleted.

Section Visibility - This is not user defined. Content sections that get added to the person profile appear only in the Experience & Qualification card.

Section Role Access – Workers to be able to add a content section to their profile, users must set up role access for them to be able to edit the content section.

Manage Instance Qualifiers

An instance qualifier set is a group of codes that you use to uniquely identify difference occurrences of the same

profile within a competency content type.

Instance qualifier properties :-

Helps identify a role of the person who edited the competency. For e.g. If three resources (worker, worker’s peer & worker’s

manager) are entering a competency rating for a worker, then instance qualifier set helps uniquely identify each instance i.e. the

rating provided based on the role.

Manage Instance Qualifiers

The following instance qualifier sets are available within the application :-

EVAL_TYPE - Associated with the competency content type. Helps identify the role of the worker who rated a particular competency for a worker.

POTENTIAL - Associated with the career potential content type. Helps identify the whether the rating was given in a talent review meeting or over

the workers profile.

RISK – Associated with the risk or loss content type. Helps identify the whether the rating was given in a talent review meeting or over the workers

profile.

PERFORMANCE_RATING – Associated with the performance rating content type. Helps identify whether the type or nature of rating given. For

e.g. rating given on compensation, rating given on performance etc.

TALENTSCORE – Associated with the talent score content type. Helps identify whether the score was updated via the talent review meeting or

over the workers profile.
