SAGEBRUSH CORPORATION SOFTWARE LICENSE AGREEMENT

GRANT OF LICENSE Sagebrush Corporation ("Sagebrush") hereby grants to you ("the Licensee") and the Licensee hereby accepts this non-exclusive, non-transferable, limited license to use the software, delivered with this License Agreement, at a single site for internal purposes and with respect to the Licensee’s materials or items maintained at a single site. The Licensee hereby agrees that it will not transfer, assign or sub-license its rights under this License Agreement, and Sagebrush reserves the right to sell or license the software to others. A copy of the software is being furnished to the Licensee with this License Agreement, in computer readable format.

SITE RESTRICTION If the Licensee wishes to use the software at or from more than one site (even if installed on only a single computer), the Licensee must pay Sagebrush for an additional copy of the software for each additional site. In this License Agreement, "site" means one distinct working unit, in one physical location (such as one school, one physical library or one department located at a single street address).

TERM This License Agreement shall remain in effect perpetually, PROVIDED HOWEVER that the Licensee is not in default of this License Agreement, in which event the License shall terminate and the Licensee shall immediately destroy the disks and accompanying materials and all copies of same.

SOFTWARE OWNER’S RIGHTS The Licensee hereby acknowledges that the software is the sole and exclusive property of Sagebrush. By accepting this license, the Licensee does not become the owner of the software, but the Licensee does have the right to use the software as provided and limited in this License Agreement. The Licensee further agrees not to transfer the software in any form to any person (by operation of law, merger or otherwise) without the prior written consent of Sagebrush. The Licensee will use its best efforts and take all reasonable steps to protect the disks and accompanying materials from unauthorized reproduction, publication, disclosure, or distribution.

REPRODUCTION PROHIBITED The Licensee agrees not to copy the software in whole or in part, except for archival or backup purposes. No more copies of the software may exist under this License Agreement at any time than are necessary for the proper use of the software at a site. The Licensee may not reverse engineer, decompile, disassemble or create derivative works from the software.

LIMITATION OF WARRANTIES Sagebrush does not warrant that the software will meet your requirements, that operation of the software will be uninterrupted or error-free, or that all software errors will be corrected. Sagebrush is not responsible for problems caused by changes in the operating characteristics of computer hardware or computer operating systems which are made after the release of the software nor for problems in the interaction of the software with non-Sagebrush software. Sagebrush warrants that the media on which the software is recorded shall be free from defects in materials or workmanship for a period of ninety (90) days after the software has been shipped to the Licensee. Sagebrush will have no responsibility to replace, or refund the license fee for, media damaged by accident, abuse or misapplication.

EXCEPT AS EXPRESSLY SET FORTH ABOVE, NOTHING IN THIS LICENSE AGREEMENT SHALL BE CONSTRUED AS A PRODUCT WARRANTY, AND ALL SUCH WARRANTIES, WHETHER EXPRESSED OR IMPLIED, INCLUDING THE IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE AND NON-INFRINGEMENT ARE EXPLICITLY AND EXPRESSLY DENIED. WHOLE AGREEMENT, GOVERNING LAW AND VENUE This License Agreement constitutes the entire agreement between the Licensee and Sagebrush. This License Agreement shall be governed by the laws of the State of Minnesota and the parties agree that the exclusive venue for claims relating to or arising out of this Agreement or the Software shall be the state or federal courts located in Minneapolis, Minnesota. If any provision of this License Agreement is for any reason unenforceable or ineffectual, the validity of the remaining provisions shall be deemed severable and shall not be affected thereby, providing such remaining provisions can be construed so as to effectuate the substance of the License Agreement.

ENFORCEMENT If any legal action is brought by Sagebrush against the Licensee regarding the subject matter of this agreement, Sagebrush shall be entitled to recover, in addition to any other relief, all costs and expenses, including all solicitor-client costs, and attorneys fees and costs incurred in enforcing this License Agreement if Sagebrush prevails in the action. The Licensee agrees that money damages will be inadequate to compensate Sagebrush in the event of breach of the License Agreement, and that Sagebrush is entitled to injunctive relief.

SOFTWARE SUPPORT The Licensee acknowledges and agrees that Sagebrush may, in its discretion, and without any liability to the Licensee, withdraw support for certain prior versions or releases of the software or portions or modules thereof, or may introduce new releases or versions of the software that are not functionally compatible with some or all previous releases or versions of the software. Sagebrush will make available such new releases or versions of the software to the Licensee on the same terms and conditions as are extended to other licensees licensing such new releases and versions under similar commercial circumstances. Sagebrush shall have no obligation to support the Licensee’s prior releases and versions of the software regardless of whether the Licensee licenses such new releases and versions.

U.S. GOVERNMENT RIGHTS This software is "Commercial Computer Software" which was developed at private expense with no government funding. If the software is acquired by the U.S. Government (or any agency thereof), the rights and license granted by this Agreement shall be as stated in this Agreement or as stated in a purchase order or contract accepted by both the U.S. Government and Sagebrush, but in no event shall the U.S. Government acquire greater right in the software than the U.S. Government Restricted Rights specified below, unless so stated in said purchase order or a contract between the parties.

U.S. GOVERNMENT RESTRICTED RIGHTS NOTICE The software and accompanying written material are provided to the U.S. Government with Restricted Right. Use, duplication, or disclosure of the software by the Government is subject to restrictions as set forth in subparagraph (c)(1)(ii) of the Rights in Technical Data and Computer Software clause at 48 C.F.R. 252.227-7013 or in subparagraph (c)(2) of the Commercial Computer Software - Restricted Right clause at 48 C.F.R. 52.227-19, as applicable. The contractor/licenser is Sagebrush.

Getting Started

Welcome Athena Mac is a catalog searching program that allows you to search Athena collections with a Macintosh computer. Athena Mac brings all the benefits of Athena’s advanced searching capabilities to the Macintosh world. It makes searching catalogs with a Macintosh computer easy and efficient.

Athena Mac looks and feels like Athena. If you have learned how to search with Athena, you already know how to search with Athena Mac.

Hardware requirements All versions of Athena Mac require a Macintosh computer with system software version 7.5.3 or newer. Athena Mac requires at least 8 megabytes of free RAM over and above that used by the operating system and any other programs that might be running. For optimum performance, we recommend that you have 8 megabytes of free RAM.

Software requirements • Athena 9.1 or later.

• Athena Mac will operate on both Novell and Windows NT networks. The requirements for each are listed below.

Novell networks You can run Athena Mac with Novell NetWare versions 2.2 to 5.

Version 5: Since this version does not support the AppleTalk protocol, you will need to purchase third party AppleTalk software and install it on the network server.

Version 2.2-4.11: You should have Novell NetWare version 2.2 with NetWare for Macintosh VAPs, or NetWare version 3.1-4.11 with NetWare for Macintosh NLMs. The NetWare VAPs or NLMs must be AppleTalk Phase 2 compatible and should be installed by a Novell Certified Network Engineer (CNE) experienced in the installation and configuration of NetWare for Macintosh services.

General requirements applicable to all versions: • You must have Athena Multi-user and Athena Mac installed

on the Novell network server.

• You should attach the Macintosh computers to the server using Ethernet cabling and adapters.

Windows NT If you plan to run Athena Mac over a Windows NT network, you must:

• Have Windows NT Server version 3.5x or later.

• Use NT File System (NTFS) in place of the standard DOS file allocation table (FAT).

• Have a Microsoft Engineer or equivalently qualified technician load and configure Services for Macintosh.

• Have Athena Multi-user and Athena Mac installed on the Windows NT network server.

• Attach the Macintosh computers to the server using Ethernet cabling and adapters.

Installing Athena Mac Before you can use Athena Mac, you must copy the Athena Mac system files to the hard drive of your network server. Your Macintosh computer must be attached to the network, and Athena must be installed on the server. Once all this is done, you can unlock Athena Mac on your network server.

Copying files to the network server Step 1: connecting to the network

1. Select CHOOSER from the Apple menu.

2. Click the AppleShare icon.

3. You will be prompted to select a file server. Select the server volume that contains your Athena system files.

Step 2: copying Athena Mac system files to the network server:

1. Insert the Athena CD-ROM into the CD-ROM drive of your Macintosh computer.

2. From the desktop, click your network server icon.

3. Select and open the athena folder by double-clicking it.

4. Select and open the CD-ROM drive containing the Athena CD-ROM.

5. Select the entire contents of the CD-ROM and drag it to the Athena folder.

Note: If you are using a Novell network, have your network administrator make sure that the shareable attribute for the Athena Mac application program is set to on. If this attribute is not set to on, you may encounter a File in Use message when Athena Mac is opened by more than one user.

Step 3: creating an Athena Mac alias

1. Select the AthenaMac file by clicking it.

2. Choose MAKE ALIAS from the File menu.

Step 4: copying the alias to the Workstations.

You must copy the alias for Athena Mac onto each Macintosh workstation.

1. From the Macintosh workstation, click the server icon.

2. From your desktop, select and open the Athena folder by double-clicking on it.

3. Drag the Athena Mac alias to the Macintosh desktop, a floppy disk, the Apple Menu Items folder, or any other location from which you plan to open Athena Mac. Make sure that you drag the alias and not the application program. If you see a message asking if you want to copy the alias to the startup disk, click OK.

4. Repeat steps 1-3 on each Macintosh workstation.

Note: This process does not copy system files to the Macintosh workstation. Instead, it creates an alias that points to the system files. The Athena Mac system files must reside on the network server.

Tip If your computer is low on memory, you can decrease the amount of memory available to Athena Mac to 6000 K. Just select Athena Mac in the athena folder and choose GET INFO from the Finder File menu. Then set the Preferred Size value to 6000 K.

Network server access rights Make sure that each Athena Mac workstation has READ access rights to the network server.

Bibliography files Athena Mac is pre-configured to save bibliography files to the athena folder on your network server. However, you can reconfigure Athena Mac to save bibliography files to a different folder.

To configure Athena Mac so that it stores bibliography files to a folder other than the athena folder:

♦ Select the folder/volume that you want to use for storing bibliography files. Then create an alias pointing to this folder and drag the alias into the Athena folder. Finally, change the name of the alias to AthenaMacBib.

Note: To save bibliographies, patrons need WRITE access to the folder where the bibliographies will be stored. Remember, this will be either the athena folder or the folder specified by the AthenaMacBib alias.

Athena Sample data If you plan to use the Athena Sample data that came with Athena, you should copy AthenaMac to the athsampl folder on the network server. Next, create an alias for this file and drag it to your Macintosh desktop. Whenever you double-click this alias you will be working with the sample data.

Unlocking Athena Mac on the network server You must use Product Manager to unlock Athena Mac on your network server. For instructions, refer to Chapter 1 Getting Started in your Athena Users’ Manual.

Searching for a help topic Whenever you click HELP, Athena Mac will display help that is relevant to the Athena function you are using. However, if you want to view another topic, you can. There are two ways to find a help topic:

• Using the contents. This is similar to using the table of contents in a book.

• Using the index. This is similar to using the index in a book.

Overview Use Athena Mac when you want to:

• Find library items. No matter what you need, Athena Mac will help you find it. You can look for specific items, general topics or even just browse the shelves without leaving your computer.

• Determine whether a particular item is in the library. Athena Mac will let you know if an item is checked out, damaged, lost or on the shelves.

• Prepare a bibliography. With Athena Mac, you can convert the results of a search into a bibliography. Then you can customize the bibliography and save it as a file for later use.

Types of searching Athena Mac provides you with three different ways to find the materials you need:

• Quick Search. Use this method when you want to search for an author, a title, or a subject. You can also use Quick Search to perform general, all-category searches.

• Advanced Search. Use this method when you want to fine-tune your searches. You can limit a search to any type of catalog information — publisher, call number, publication date or anything else. You can also perform AND, OR, and NOT searches.

• Visual Search. Use this method to perform predefined searches. Click a category, say Award Winning Books, and Athena Mac will list all the items that fall into this category. Since each category can be assigned a descriptive picture, patrons can search using visual cues rather than search terms.

Quick Search Athena Mac’s Quick Search provides easy access to your library’s collections. You can use it to perform author, title, subject, and all-category searches.

Quick start 1. If Quick Search is your default search method, you will see

the Quick Search screen when you start Athena Mac. —or— If Quick Search is not your default search method, you will see one of the other search screens. Click the QUICK SEARCH tab. You will see the Quick Search screen.

2. Type the word or phrase that you want to use as a search term.

3. Click SEARCH.

Quick Search — detailed instructions To start Quick Search:

♦ If Quick Search is your default search method, you will see the Quick Search screen when you start Athena Mac. —or— If Quick Search is not your default search method, you will see one of the other search screens. Click the QUICK SEARCH tab. You will see the Quick Search screen.

BUTTON DESCRIPTION

SEARCH Enter any valid search term. Then click SEARCH to perform a broad all-category search. Athena Mac will locate items related to this search term.

AUTHOR Enter an author’s entire name or the first part of the surname. Then click AUTHOR to locate any items written by someone with this name.

TITLE Enter an entire title, the first part of a title, any word or partial word in a title. Then click TITLE to locate any items with this search term in the title.

SUBJECT Enter a subject. Then click SUBJECT to locate any items with this search term in the subject.

READING PRG. Enter any valid search term. Then click READING

PRG to further limit the search to a particular reading level and reading program point value. Note: if this button does not appear on the Quick Search screen, your library has not configured Athena for reading program searches.

VISUAL SEARCH Click this to perform a Visual Search.

SEARCH Click this to perform an Advanced Search.

COLLECTION Click this to change the active collection.

Search terms A search term is a word or phrase, or part of a word or phrase, that you use to tell Athena Mac what to search for. It can be an author’s name, a complete or partial title, a subject, a publisher, or any other piece of information in Athena’s bibliographic or copy information. In general, a search term must be two or more characters long.

Performing a Quick Search When you start Quick Search, the stoplight on the SEARCH button is red. This indicates that Athena Mac cannot begin a search until you enter a search term.

To perform an all-category search:

1. Type a search term in the box at the top of the screen. The stoplight on the SEARCH button will turn green, indicating that Athena Mac is ready to start the search.

2. Click SEARCH.

To perform a reading program search:

1. Type a search term in the box at the top of the screen.

2. Click READING PRG. You will see the Reading Program Search dialog box. Note: if the READING PRG button does not appear on the screen, your library has not configured Athena for reading program searches.

1. Type a search term in the box at the top of the screen.

2. Depending on the type of search you wish to perform, click AUTHOR, TITLE, or SUBJECT .

Tip When performing reading program, author, title, or subject searches, you can search on a range. Just enter the starting value for the range followed by two periods (..) and then the last value in the range. For example, the search term wha..will tells Athena Mac to look all items that fall within the range wha to will. Note: you cannot use the range searching feature in conjunction with the - - (AND) or | (OR) operators.

To return to the Quick Search screen:

Stopping a search If a search seems to take an unusually long time, it may be because your search term is too broad and there are more matching titles than you expected. When this happens, you can stop the search and try again with a more specific search term.

While Athena Mac is searching, the SEARCH button is replaced by the STOP SEARCH button. You can use this button to stop the search.

To stop a search:

1. Click STOP SEARCH. Athena Mac will ask if you really do want to stop the search.

2. Click YES.

Truncated and exact searches Athena Mac can perform two types of searches, exact and truncated. With a truncated search, Athena Mac searches for information that starts with the letters in your search term. For example, if you search on DOL, Athena Mac will find items related to dolls, dolphins, etc.

With an exact search, Athena Mac searches only for information that is identical to your search term. This means that you must type the entire search term. For example, to search on dolphin, you must type the complete word DOLPHIN. Typing DOL is not sufficient.

Which type of search does Athena Mac use? This depends on how your library has set the Default Search Behavior parameter. If it is set to exact, Athena Mac will perform exact searches. If it is set to truncated, Athena Mac will perform truncated searches. For more information about setting the Default Search Behavior parameter, see Configuring search starting on page 63.

Can I temporarily request a different search type? Yes. If your Default Search Behavior parameter is set to truncated, you can still specify an exact search. Similarly, if the parameter is set to exact, you can still specify a truncated search.

To specify an exact search when the Default Search Behavior is set to truncated:

♦ Add a period (.) to the end of your search term.

Searching on a phrase A search term does not have to be a single word; it can be an entire phrase. When searching on a phrase, Athena Mac can perform two types of searches:

• Extended phrase search. Athena Mac interprets the words within a phrase as if they are separate search terms joined by the Boolean operator AND. For example, the search term used cars is interpreted as used AND cars. This means that before Athena Mac will find a title, its catalog information must contain every word that is present in the search term. However, the words do not need to appear in any specific order. Furthermore, the words can be separated by additional words that are not even in your search term. For example, the search term used cars might yield used compact cars, used passenger cars, cars that have been used, cars used, etc.

• Nonextended phrase search. Athena Mac interprets the entire phrase as a single search term. This means that word order within the search term is important. Furthermore, before Athena Mac will find a title, its catalog information must contain the complete phrase that you used as the search term. For example, the search term used cars will yield only those items with the entire phrase used cars in their catalog information. Athena Mac will not locate items containing phrases such as cars used, used compact cars, used passenger cars, cars that have been used, etc. Also, in a nonextended phrase search, Athena Mac will not find embedded phrases. In other words, before Athena Mac will locate an item, it must have your search term at the beginning of the title, subject, author, or other piece of catalog information.

The type of phrase searching Athena Mac uses depends on how the Extended Phrase Searching parameter is set.

• If the Extended Phrase Searching parameter is set to Never, Athena Mac will perform only nonextended phrase searching.

• If the Extended Phrase Searching parameter is set to Always, Athena Mac will perform only extended phrase searching.

• If the Extended Phrase Searching parameter is set to Automatic, Athena Mac will first perform a nonextended phrase search. If it does not find any matches, it will perform an extended phrase search.

Tip If the Extended Phrase Searching parameter is set to Always, you can enter multiple search terms in the search term box. For example, to find materials that are about both whales and dolphins, type WHALES— —DOLPHINS. (Athena Mac interprets the double dash as AND.) Similarly, type WHALES | DOLPHINS to find materials that are about whales OR dolphins. Note: | is the pipe character. For more information about AND and OR searches, see Using multiple search terms on page 32.

Changing collections Most libraries are organized into distinct groups of materials called collections. The collection that Athena Mac is working with at any one time is called the active collection. The name of the active collection is always displayed at the top of the screen.

Note: Athena Mac searches only the active collection. To find relevant items in another collection, you must run two searches, one for each collection.

Entering search terms Searching with Advanced Search is similar to searching with Quick Search. You enter search terms and Athena Mac searches for items that match these terms.

Tip You can specify a search term range. Just enter the starting value for the range followed by two periods (..) and then the last value in the range. When performing this type of search, it is important to use the correct limits. For example, a search term of 1994..2001 limited by Date of Publication, tells Athena Mac to find items published between the years 1994 and 2001. Note: you can also specify an open ended range. For example, a search term of 1994.. tells Athena Mac to find titles published in 1994 or later. A search term of ..1994 tells Athena Mac to find titles published in 1994 or earlier. Note: this feature will not work in conjunction with the -- (AND) or | (OR) operators. If you enter a range in a search term box, you should not use the - - (AND) or | (OR) operators in that same box.

Changing collections from Advanced Search Athena Mac searches only the active collection. To make a collection active, click the CHANGE COLLECTION tab from the Advanced Search screen. Extended phrase searching As with Quick Search, the method Athena Mac uses to search for a phrase will depend on how the Extended Phrase Searching parameter is set. For more information, see Searching on a phrase on page 21.

Using multiple search terms Sometimes a single search term is not enough. Maybe you want to search for items that meet two or more specific criteria. An example would be all items written by Virginia Schomp about dolphins. Similarly, you might want to search for items that meet at least one of several criteria. An example would be all items that deal with either whales or dolphins.

Whenever you use more than one search term, you must link the different terms with one of these Boolean operators:

Determining the order of precedence The order in which you enter search terms will affect your search results. If you are using one search term per box, Athena Mac will interpret the search as if the first two search terms are enclosed in parenthesis:

where operator 1 and operator 2 represent the Boolean operators connecting the search terms.

If you are using multiple search terms per box, determining the order of precedence is slightly more complicated. You need to know how Athena Mac determines the search results:

• First, Athena Mac will determine separate search results for each box. If the box contains multiple search terms, Athena Mac will combine the terms in order of left to right. For example, these search terms: SEARCH TERM 1 | SEARCH TERM 2– –SEARCH TERM 3– –SEARCH TERM 4

will be combined as (((SEARCH TERM 1 | SEARCH TERM 2)– –SEARCH TERM 3)– –SEARCH TERM 4)

Note: these are intermediate results only. You will not see these search results. Also, remember that Athena Mac will interpret | as OR and a double dash as AND.

• Then Athena Mac will combine the three sets of search results (one from each box) using the Boolean operators selected in the Boolean lists:

If your library uses a reading program such as Scholastic Reading Counts! or Accelerated Reader, you can perform a reading program search. If you do, Athena Mac will limit the search results to include only items with the reading level and reading program point values you specify.

To perform a reading program search:

1. Click READING PRG. You will see the Reading Program Search dialog box. Note: if the READING PRG button does not appear on the screen, your library has not configured Athena for Reading Program searches.

Displaying keywords As you type something in the box at the top of the Browse Indexes screen, Athena Mac will show the first keyword that begins with the letter or letters that you type. You can scroll through the keywords using the PAGE UP and PAGE DOWN buttons or by using the scroll bar.

Choosing a keyword category You may not want to view all keywords. For example, if you are searching for an author, you will probably want to browse author keywords as opposed to all keywords. Similarly, if you are searching for a particular subject, you will probably want to browse only subject keywords.

Athena Mac lets you specify the type of keyword to browse.

To specify a keyword type:

♦ Open the list at the top right of the screen and click the desired keyword category.

Searching from the Browse Indexes screen When you find the appropriate search term, have Athena Mac run a search directly from the Browse Indexes screen.

To search from the Browse Indexes screen:

Visual Search Athena lets you define specific searches and link them to visual search buttons. Once you have done this, patrons can perform the defined searches simply by clicking the linked visual search button.

How it works In most libraries, the Visual Search Home screen is a general directory that points patrons to specific areas of interest. Patrons click the visual search button that represents their area of interest. Depending on how the library has configured Visual Search, Athena Mac will respond by conducting a search, launching a program, displaying a bibliography, or displaying another screen of buttons.

To perform a visual search:

1. From the Visual Search Home screen, click the visual search button that most closely represents your area of interest.

2. If the button you choose is linked to a search or a bibliography, Athena Mac will display the search results or the bibliography. —or— If the button you choose is linked to another screen of visual search buttons, Athena Mac will display the screen. Narrow your search still further by clicking the button that most closely represents your area of interest. Continue in this manner until Athena Mac either displays the search results or the bibliography.

Navigating the Search Results screen Sometimes Athena Mac will find more titles than will fit on one screen. Moving up and down through the search results is easy.

To display the next screen of search results:

The full description shows the title’s bibliographic information. It also provides access to the title’s MARC description, catalog card and copy information.

Browsing the shelves Most libraries shelve related items together. This means that once you find a useful item, you can often find other relevant materials just by browsing the shelves adjacent to this item. Athena Mac lets you browse the shelves without leaving your computer.

To see information about the item shelved immediately to the left of the current item:

1. From the Full Description, MARC Description, or Card Description screen, click LOOK LEFT.

2. Continue browsing to the left by repeatedly clicking LOOK LEFT.

To see information about the item shelved immediately to the right of the current item:

Producing a bibliography Athena Mac gives you the power to create bibliographies from the search results. You can even customize the bibliography by removing items, by adding additional items, and by sorting items so that they appear in the most useful order. When you have finished, you can print the bibliography or save it to a file that you can retrieve and work on later.

Quick start Adding items to the bibliography

1. Specify and run a search.

2. From the Search Results screen, click the BIBLIOGRAPHY tab. You will see the Bibliography Results screen.

3. Click ADD SEARCH.

Customizing the bibliography

♦ To remove an item from the bibliography, hold down the Command key while clicking the title that you want to remove. Then click REMOVE.

♦ To sort the bibliography, click SORT and choose a sort order.

♦ To save the bibliography, click the FILE tab. When you see the Bibliography File Options dialog box, click SAVE CURRENT BIBLIOGRAPHY. When prompted, enter a file name.

Customizing a bibliography Once you have created a bibliography you can modify it to meet your specific needs.

To remove an item from the bibliography:

1. From the Bibliography Results screen, hold down the Command key while clicking the item that you want to remove. The entire item will turn red. (If you accidentally select the wrong item, deselect it by command-clicking it a second time.)

2. Click REMOVE. Athena Mac will remove the selected item from the bibliography.

Tip When removing items, you can select more than one title at a time. Just command-click each item that you want to remove. When you have selected the items you want, click REMOVE. Athena Mac will remove all selected items from the bibliography.

To sort a bibliography:

1. From the Bibliography Results screen, click SORT. You will see the Sort Bibliography By dialog box.

2. Click the desired sort order.

1. Return to the current Search screen by clicking the SEARCH tab.

2. Specify and run a new search.

3. From the Search Results screen, click the BIBLIOGRAPHY tab.

4. From the Bibliography Results screen, click ADD SEARCH.

Printing the bibliography Athena Mac can print a bibliography in any of these formats:

• Short. This format includes a brief description of each item.

• Full. This format includes a full description of each item.

• MARC. This includes a MARC description of each item.

To print a bibliography:

1. From the Bibliography Results screen, click the PRINT tab. You will see the Print dialog box.

2. Indicate the desired Print Format and Print Range options.

3. In the Title of Bibliography box, type a title for the bibliography. Athena Mac will print this title at the top of the bibliography. Note: when entering a title, you can start a new line by pressing the Return key. Also, bibliography titles cannot be longer than 4 lines.

4. Click OK.

Saving the bibliography to file Sometimes you will want to save a bibliography, either for future reference, or so that you can modify it later.

To save a bibliography to a file:

1. From the Bibliography Results screen, click the FILE tab. You will see the Bibliography File Options dialog box.

2. Click SAVE CURRENT BIBLIOGRAPHY. You will see this dialog box:

3. Type a file name. File names must be eight characters or less. Do not include an extension.

4. Click OK.

Now you can access this bibliography whenever you like. For information on loading a saved bibliography, see Loading a previously saved bibliography on page 59.

Starting a new bibliography Warning! If you plan to use the current bibliography again, make sure

you save it before starting a new bibliography.

To start a new bibliography:

1. From the Bibliography Results screen, click START NEW. You will see a message asking if you are sure that you want to erase the bibliography results.

2. Click YES.

Once Athena Mac has removed the current bibliography from the screen, you can start building the new bibliography.

Loading a previously saved bibliography If a bibliography has been saved to file, you can access it at any time.

To load an existing bibliography:

1. From the Bibliography Results screen, click the FILE tab. You will see the Bibliography File Options dialog box.

2. Click LOAD A BIBLIOGRAPHY FILE. You will see the Load Bibliography dialog box.

3. From the File list, click the desired bibliography.

4. Click OPEN.

Once you have loaded the bibliography, you can view, modify, or print it just as you would any other bibliography.

Deleting a previously saved bibliography When a saved bibliography is no longer needed you should delete it.

To delete a bibliography:

1. From the Bibliography Results screen, click the FILE tab. You will see the Bibliography File Options dialog box.

2. Click DELETE A BIBLIOGRAPHY FILE.

3. From the File list, click the bibliography that you want to delete.

4. Click the button at the bottom of the dialog box. It will be labeled with the word DELETE and the name of the selected bibliography.

Overview You can configure Athena Mac, so that it meets the needs of your library. Configuration tasks include:

• Setting searching parameters. You can use searching parameters to specify the default search screen, default search behavior and more.

• Configuring Macintosh applications. You can configure visual search buttons to launch Macintosh programs from Athena Mac.

• Configuring Athena WebLink. If your library has purchased Athena WebLink, you can enable Athena WebLink on Macintosh workstations. You can also choose a Macintosh Web browser and set a Macintosh WebLink password.

Configuring search You can customize Athena Mac’s searching features so that they best suit the unique needs of your particular library. You do this by providing Athena Mac with pieces of information that tell it how to perform searches. These pieces of information are called searching parameters.

Here is a description of the various searching parameters:

PARAMETER DESCRIPTION

Default Search Behavior

If this parameter is set to truncated, Athena Mac will perform truncated searches. This means that when you enter a search term, you do not have to type the complete word. For example: to find library items related to dolphins you could type DOL as the search term. However this type of search can find unexpected items. For example if you use the search term DOL, Athena Mac will locate not only items related to dolphins, but also items about dolls and an item titled Doctor Dolittle’s Zoo.

If this parameter is set to exact, Athena Mac will perform exact searches. This means that when you enter a search term, you must type the complete word. For example, if you use the search term DOL, Athena Mac will not find items related to dolphins, dolls, etc. If you want to find items related to dolphins, you must type the entire word DOLPHINS.

PARAMETER DESCRIPTION

Extended Phrase Searching

In an extended phrase search, Athena Mac interprets the words within a phrase as if they are separate search terms joined by the Boolean operator AND. For example, the search term used cars is interpreted as used AND cars.

If the Extended Phrase Searching parameter is set to Automatic, and you search on a phrase, Athena Mac will first look for records containing the entire phrase. If it does not find any matches, Athena Mac will then perform an extended phrase search.

If this parameter is set to Always, and you search on a phrase, Athena Mac will perform an extended phrase search without first searching on the entire phrase. This setting will yield the most titles, but searches may take longer than with the other settings.

If this parameter is set to Never, Athena Mac will search only on the phrase. It will not perform extended phrase searching.

Rank Search Results by Relevance

If this parameter is set to Yes, Athena Mac will list items in the search results according to their relevance. If this parameter is set to No, Athena Mac will list items in the order that they were added to the collection. Note: the results of a visual search are not ranked.

Use MARC Fields to Determine Relevance

If this parameter is set to Yes, Athena Mac will rank items according to the MARC field in which the search term is found.

Include Icons to Show Relevance

If this parameter is set to Yes, for each item in the search results, Athena Mac will include a thermometer icon that shows the item’s relevance. Note: the results of a visual search are not ranked.

Default Search Screen

This parameter tells Athena Mac which search screen to display when someone starts the searching function.

Limit Searches to Location

Athena Mac will automatically limit searches to the location specified by this parameter. Note: patrons can override this from the Advanced Search screen.

Limit Searches to Format

Athena Mac will automatically limit searches to the format specified by this parameter. Note: patrons can override this from the Advanced Search screen.

Default Collection The default collection is the collection that Athena Mac automatically makes active when you start searching. If your library has multiple collections, you can choose the default collection for this workstation. If you do not specify a default collection for this workstation, Athena Mac will use the Global collection. This is the collection specified by the Default Collection parameter in Athena’s Change System Parameters feature.

Global vs. local settings There are two sets of searching parameters:

• Global settings. These apply to the entire network. A computer will use the global settings unless you specifically create local settings for that computer. Note: you cannot change global settings from Athena Mac Configuration. These must be changed from within Athena.

• Local settings. These apply only to the local machine. If you create local settings for a computer, these settings will override the global settings. Local settings can be changed from Athena Mac Configuration.

Warning! Changing searching parameters may affect visual search results. Whenever you change searching parameters, test your visual searches to make sure that they still provide complete and meaningful search results.

To display local settings:

1. If you have not already done so, start Athena Mac Configuration.

2. From the Configure Search screen, under Show, click LOCAL SETTINGS. If there is not already a local set of searching parameters for this computer, Athena Mac will create one.

To remove local settings:

1. Display the local settings.

2. Click REMOVE.

Tip You can create a separate set of local settings for each of your computers.

To change the local searching parameters:

1. Display the local settings.

2. Click the desired options.

3. To add a location limit, select the Location check box. Then open the location list and click the desired value.

4. To add a format limit, select the Format check box. Then open the format list and click the desired value.

5. Save your changes by clicking SAVE CHANGE.

Note: You can change only local settings from Athena Mac Configuration. Global settings must be changed from within Athena. For instructions, consult your Athena Users’ Manual. Also, if Athena Mac is running while you change local settings, you must click Athena Mac’s START OVER button before the changes will take effect.

Displaying global settings Although you cannot change global settings from Athena Mac Configuration, you can view them.

To display global settings:

1. If you have not already done so, start Athena Mac Configuration.

2. On the Configure Search screen, under Show, click GLOBAL SETTINGS.

Configuring Macintosh applications Since Windows programs cannot run on Macintosh machines, visual search buttons that launch Windows programs must be reconfigured to work with Athena Mac. You can reconfigure these buttons so that they launch different programs from Athena Mac than they do from Athena. This gives you the option of launching equivalent programs from Macintosh and Windows machines. For example, you might configure a visual search button to launch Word for Windows on Windows machines and Word for Macintosh on Macintosh machines.

Note: If you do not have access to an equivalent Macintosh application, you can configure the visual search button so that it is available on Windows, but not on Macintosh machines.

Getting started Before you begin, make sure that the visual search button you want to work with has been created and configured to launch a program. Remember, this must be done from Athena. For information about creating and configuring a visual search button, see your Athena Users’ Manual.

Once you are certain that the visual search button has been created and configured to launch a program, you can reconfigure it using Athena Mac Configuration.

To move to a particular screen:

♦ Click the same visual search buttons that you would to access the screen from Visual Search.

To return to the Configure Mac Applications — Visual Search Home screen:

♦ Return to the previous screen by clicking GO BACK. Continue clicking GO BACK until you see the Configure Mac Applications — Visual Search Home screen.

Accessing the Set Button Properties screen Before you can configure a visual search button, you must access its Set Button Properties screen.

Note: You can configure only those visual search buttons that launch applications. If a visual search button performs a search or displays a bibliography, it will not be available from Athena Mac Configuration.

Warning! When several visual search buttons have identical values in the Program box of Athena’s Change Button Properties screen, any changes that you make to one button from Athena Mac Configuration, will also apply to the other buttons.

Specifying the Macintosh application Before Athena Mac can launch an application it needs to know:

• Which application to launch. You must provide it with a program name.

• How to find the application. You can specify a path or have Athena Mac locate the application using the Macintosh Finder. Use the path only if you want absolute control over which version of the application is launched. This is useful if you specifically want to launch an older version of a program (for example if compatibility is an issue). Otherwise, use the Finder.

Note: If you plan to have more than one patron accessing a particular program simultaneously, make sure that the program has multi-user capabilities.

To tell Athena Mac to start a particular application using the specified path:

1. If you have not already done so, access the Set Button Properties screen for the desired visual search button.

2. Click the BROWSE button to the right of the Program box and choose this application from a list. —or— In the Program box, type the full path for the application. (Remember to separate components within the path by colons.)

3. Click the LAUNCH USING PATH option.

Note: If the path you enter begins with a colon, Athena Mac will search for the specified program only on the boot drive of the local machine.

To tell Athena Mac to start a program using the information in the application’s signature:

1. If you have not already done so, access the Set Button Properties screen for the desired visual search button.

2. Click the BROWSE button to the right of the Program box and choose this application from a list. —or— In the Program box, type the full path for the application. (Remember to separate components within the path by colons.)

3. Click the LAUNCH USING FINDER option.

Note: If you have several hard drives, the Finder will search the boot drive first. Then, if it does not find the specified application, it will search the other local drives. If it still does not find the application, it will search the server’s hard drive.

Specifying a document Instead of an application, you may want to link a visual search button to a document. Then, whenever someone clicks the button from Visual Search, Athena Mac will display the document.

Before Athena Mac can display the document, it needs to know:

• Which document to display.

• Which application to use to display the document. If you do not specify an application, Athena Mac will open the document using the application associated with it in the document creator’s signature.

To tell Athena Mac to display a document using a specific program:

1. If you have not already done so, access the Set Button Properties screen for the desired visual search button.

2. Click the BROWSE button to the right of the Document box and choose the document from a list. —or— In the Document box, type the name and the full path of the document that you want to display. Remember to separate items in the path with a colon (:).

3. Click the BROWSE button to the right of the Program box and choose the desired program from a list. —or— In the Program box, type the full path of the desired program.

4. If you specified a path in the Program box and want Athena Mac to find the application using this path, click the LAUNCH USING PATH option. Otherwise, click the LAUNCH USING FINDER option.

To tell Athena Mac to display a document using the program indicated in the document creator’s signature:

1. If you have not already done so, access the Set Button Properties screen for the desired visual search button.

2. Click the BROWSE button to the right of the Document box and choose the document that you want to display from a list. —or— In the Document box, type the name and path of the document. (Remember to separate items in the path with a colon.)

3. If the Program box is not empty, delete its contents.

Tip If you plan to open Windows or MS-DOS documents, make sure that you install the Macintosh Easy Open extension and enable it. The first time you open the document from a Macintosh computer, Easy Open will ask you to choose the application that the Finder should use to open the document. Thereafter, the Finder will automatically use this application whenever it opens the document. You will need to repeat this procedure once on each Macintosh machine. For more information about Easy Open, refer to the documentation that came with your Macintosh computer.

Displaying HTML documents If the document that you want to display is an HTML document, you can specify its URL (uniform resource locator) instead of its name. Just enter the URL in the Document box. Then select the Click if URL check box. For example:

Tip If you are configuring more than one Athena Mac station, select the LAUNCH USING FINDER option. This will allow you to specify the same program on each local machine, even if this program resides at different locations on the various machines.

Note: This feature is available to only those libraries that have purchased Athena WebLink.

Enabling and disabling visual search buttons Any visual search button that launches an application can be enabled or disabled specifically for Athena Mac stations. If you disable a button, it will not be available to patrons searching from Macintosh workstations.

Enter the URL.

To disable a visual search button for Athena Mac workstations:

1. If you have not already done so, access the Set Button Properties screen for the desired visual search button.

2. Click the DISABLE BUTTON option.

Note: Disabling a visual search button from Athena Mac Configuration disables it only for Macintosh workstations. Patrons will be able to access the button from Athena.

Saving your configuration When you feel that the visual search button is configured properly, save the configuration.

To save the configuration:

♦ From the Set Button Properties screen, click SAVE CHANGE.

Testing a visual search button You can test a visual search button from the Set Button Properties screen.

To test a visual search button:

1. If you have not already done so, access the Set Button Properties screen for the desired visual search button.

2. Notice that this screen contains the visual search button and its picture. Click the visual search button.

Note: When testing a visual search button, make sure that you have the same access rights as your patrons.

To test, click the visual search button.

Creating buttons specifically for Macintosh stations You can create visual search buttons to appear on Macintosh searching stations but not on Windows searching stations. This is useful if the application that you want to launch does not have a Windows equivalent.

Step 1: create the button

1. From Athena, start the Configure Visual Search feature.

2. Access the desired Visual Search screen.

3. Click ADD BUTTON. Athena will add a new button to the screen.

Step 2: set the button’s Windows properties

1. Right-click the new visual search button. You will see the Change Button Properties screen.

2. Under Active Button, click the NO option.

3. Open the Button Action list and choose LAUNCH AN APPLICATION.

4. In the Program box, type a program name. If you like, you can use a fictitious name, for example, Placeholder1. Note: you may use a particular program name for more than one button providing each of these buttons launches the same Macintosh program.

5. In the English Text box, type the descriptive label that you want displayed with the new button.

6. To add a picture to the button, click CLICK TO SELECT and import the desired graphic. For detailed instructions, consult your Athena Users’ Manual.

7. From the Change Button Properties screen, click SAVE.

Tip If you plan to have two or more buttons launch the same Macintosh application, give them the same program name from within Windows (step 4 above). This will save you time later because Athena Mac Configuration assumes that buttons with the same Windows program name will launch the same Macintosh application. This means that you only have to specify the Macintosh application once, for a single button. All of the related buttons will be automatically configured to launch this same application.

Step 3: configuring the button for Macintosh Workstations

♦ Start Athena Mac Configuration and configure the button so that it launches the desired Macintosh program. For instructions, see Configuring Macintosh applications starting on page 68. Do not forget to enable the button for Athena Mac workstations.

Configuring Athena WebLink If your library has purchased Athena WebLink, you can configure it so that it also works with Athena Mac.

Configuring Athena WebLink involves:

• Telling Athena WebLink which Web browser to launch. You must provide it with a program name.

• Telling Athena WebLink where to find the Web browser. You can specify a path or have Athena Mac locate the browser using the Finder.

• Setting a password. If you do this, patrons must provide the correct password before Athena WebLink will allow them to access a Web site.

Starting the Configure WebLink feature To start the Configure WebLink feature:

1. Start Athena Mac Configuration. For instructions, see page 62.

2. From the Configure Search screen, click the CONFIGURE WEBLINK tab. You will see the Configure WebLink screen.

Specifying a Web browser To specify the Web browser:

1. If you have not already done so, start the Configure WebLink feature.

2. Click the BROWSE button to the right of the Enter Browser Application Name box and choose the browser from a list of files and folders. —or— In the Enter Browser Application Name box, type the full path of the desired browser. (Remember to separate items within the path with a colon.)

3. If you want Athena Mac to find the browser using the information specified in its signature, click the LAUNCH USING FINDER option. —or— If you specified a path in the Enter Browser Application Name box and want Athena Mac to find the browser using this path, click the LAUNCH USING PATH option.

4. Click SAVE CHANGE.

Note: The Web browser configuration will apply to all Athena Mac searching stations.

Specifying a password You can password protect Athena WebLink for Macintosh workstations. If you do, patrons must provide the correct password before Athena WebLink will allow them to access a Web site from Athena Mac.

To specify a password:

1. If you have not already done so, start the Configure WebLink feature.

2. From the Configure WebLink screen, in the Password box type the password.

3. Click SAVE CHANGE.

Note: The password you enter will apply to all Athena Mac stations.

Disabling and enabling Athena WebLink You can disable or enable Athena WebLink on a workstation by workstation basis.

To disable Athena WebLink on an Athena Mac workstation:

1. From the workstation, start the Configure WebLink feature.

2. Click the DISABLE WEBLINK ON THIS WORKSTATION option.

3. Click SAVE CHANGE.

To enable Athena WebLink on an Athena Mac workstation:

1. From the workstation, start the Configure WebLink feature.

2. Click the ENABLE WEBLINK ON THIS WORKSTATION option.

3. Click SAVE CHANGE.
