3. Class, Class Cancellation and Regular Examinations
Semesters

Class period
The class period per subject is 90 minutes. The class time schedule is as shown below. For intensive courses and makeup classes, the schedule will be posted on the bulletin board of each campus.

Attendance
(1) Attendance is recorded by waving the student ID card over the card reader.
(2) The reader starts reading 5 minutes before the start of each class and ends reading after 20 minutes passed from the class start.
Absence and lateness
(1) Students who were absent more than five times out of the total 15 classes for each subject are ineligible to take the regular examinations for that subject. (The case for students in the Preparatory Department will be determined separately.)
(2) Showing up at a class after 20 minutes from the class start is treated as lateness.
Class cancellation
In principle, the following cases mean or cause class cancellation (no class):
(1) Notice of class cancellation is provided by the Educational Affairs Section via bulletin board or e-mail.
(2) Classes are not given as usual due to a school event or the like. (3) The warning for storm or heavy snow is issued by Meteorological Agency for all Gifu, Seino and
Chuno areas (see below) (excepting a case where the warning is issued only for Gifu area, only for Chuno area, or the like).
(4) Students are prevented from attending due to traffic strike, disaster, public transportation trouble, etc.
・If the warning has been lifted by 6:00 a.m., the classes will be given as usual.
・If the warning has been lifted by 10:00 a.m., the classes will be given from Period 3.

※ If you were unable to attend because the public transportation service stopped due to the storm warning issued for any other area than all Gifu, Seino and Chuo areas, promptly fill in the specified absence report form and submit it to the Educational Affairs Section staff or the faculty member in charge together with a delay certificate or the like issued by the concerned transportation company. In the absence report, state the reason for absence as “No public transportation service due to storm (or heavy snow) warning.”
Periodic examination
(1) Regular examinations (through paper tests, written reports and so on) are performed at the end of each semester and the end of the academic year for each subject.
(2) Students who attended less than 2/3 of the total number of classes of a subject are ineligible to take the periodic examination of that subject.
(3) Any student not registered to take the class of a subject is ineligible to take the examination of that subject.
(4) Any student who has not paid school fees is ineligible to take the examination. (5) To take a supplementary/makeup examination, visit Educational Affairs Section for registration.
Rules for taking examination
(1) Put your student ID card on the desk. (2) If you forgot to bring your student ID card, ask the Educational Affairs Section staff to issue a
temporary student ID card (effective only for that day) before the examination, and put it on the desk.
(3) Keep your cellular phone OFF. (4) Put all things other than writing materials and the student ID card in the specified place. (5) Any student who shows up after 20 minutes from the examination start is ineligible to take that
examination. (6) In the test room, follow the instructions of the supervisor.
※ Caution!!
“Disciplinary punishment against cheating”””””
① Any student who committed a minor cheat for the first time would receive a warning, and his/her examination paper on the subject or his/her examination papers on all subjects during the examination period would be made invalid.
② Any student who committed a cheat that is recognized as malicious would be suspended from school, and his/her examination papers on all subjects during the examination period would be made invalid.
③ Any student who repeatedly committed a cheat would be expelled from school.
E-mail distribution for information of lecture cancellation and/or makeup class
We use students’ e-mail addresses (s[student ID number]@st.chubu-gu.ac.jp) to distribute the information about lecture cancellation and/or makeup class.
※The e-mail distribution only plays an auxiliary role. Be sure to check for any notice on
the bulletin board of each campus.

Performance rating
(1) The performance of each periodic examination is rated and indicated as follows:

“失” The eligibility to take the examination was not recognized by the faculty member in charge of the subject.
(2) The performance rating reflects the results of periodic examination, summary test and mini-test,
the submission of assignment, the attendance, the eagerness in class and the degree of preparation and review.
(3) The result of makeup examination is rated as “C,” “D” or “欠.”
(4) Any student who did not take the examination for no justifiable reason is not given any rating.
Supplementary examination
(1) The supplementary examination is given to students who were not able to take the periodic examination due to disease or other unavoidable reason and have submitted the “Notification of Absence from Examination” by the specified date.
(2) The notification of absence from examination must be submitted within 7 days from the next day of the missed examination. In this case, be sure to attach a document proving the reason for absence (a medical certificate in case of disease). The supplementary examinations is not given without any document proving the reason for absence, and may not be given depending on the reason for absence.
Makeup examination
(1) The makeup examination is given to those students rated as “D” as a result of the periodic examination.
(2) For some subjects, the makeup examination may not be given. (3) Those students who want to take the makeup examination must submit the “Application for
Makeup Examination” to the Educational Affairs Section. (4) In principle, the makeup examination is given only once for each subject. (5) Absence from the makeup examination is regarded as a waiver of taking the examination and
results in failure. (6) Those students who were permitted to take the makeup examination must pay the makeup
examination fee as defined below to the Educational Affairs Section and receive an examination admission card.

*The grade report is also sent by post to the parents of each student.

4. School Life
International Exchange and Overseas Students Center
The International Exchange and Overseas Students Support Section assists overseas students with life in Japan and at school.
(1) Location: First floor of No. 6 Building
(2) Reception hours: 9:00 - 17:00 on weekdays (No service provided on Saturdays, Sundays and national holidays)

Student ID card
(1) The student ID card proves that you are a student of CGU. Whenever you are on the campus of CGU, be sure to take it with you.
(2) The ID card is necessary for:
・Registering the attendance at a class
・Taking semester-end examinations
・Issuing certificates, purchasing textbooks, etc.
・Using the library or computer room
・Purchasing a student commuter pass or
receiving student discount
(3) Issuance/re-issuance of student ID card
・The ID card is issued upon enrollment.
・If the ID card is lost or damaged, immediately notify the Student Affairs Section staff and
apply for re-issuance.
・The re-issuance costs 1,000 yen as the card fee.
(4) Issuance of temporary student ID card
・ The student ID card is required to attend a class. Note that if you attend a class without your
student ID card, you may be treated as being absent from that class.
・If you forget to bring your student ID card, visit the Educational Affairs Section and fill in the
“Application for Issuance of Temporary Student ID Card” form to receive a temporary ID card. Show the temporary ID card to the faculty member in charge of the subject for the confirmation of your attendance.
・ The temporary student ID card is issued at 500 yen.

Certificate of qualification for student discount
The student discount system is established to contribute to the promotion of school education by reducing the economic burden of studying on students. The certificate of qualification for student discount can be used to buy the ticket for the purpose of: (1) returning home, (2) a regular education curriculum, (3) an extracurricular education activity, (4) a field trip, (5) job search/examination, (6) medical treatment or (7) traveling with parent(s).

School bus
We provide school bus service for commuting. On regular class days, the buses run according to the bus schedule. On school event days, school holidays, etc., they do not run as scheduled, and the temporary bus schedule will be posted on our website or the bulletin board of each campus. Note that the school bus may not arrive or leave on time depending on the traffic condition. You should allow enough time when using our bus service.
(1) To take the school bus, raise your hand or give other clear sign when the bus is coming so
that the driver can recognize you. To get off the bus, tell the driver when the bus is arriving your bus stop.
(2) Students waiting for the school bus should stand properly in line on one side of the road.
(3) Do not litter at the bus station.
※ Keep good manners when you are in the school bus!
① The student discount is not available if the on-way distance of travel is 100 km or less.
② Be sure to take your student ID card with you.
③ The certificate of qualification for student discount can only be used by the applicant.
④ A certificate of qualification for student discount is effective for 3 months.
⑤ The number of the certificates one can apply for at a time is limited to 4.
・The front 2 rows of seats are the priority seats for faculty members and visitors.
・Smoking is not allowed in the bus, as well as at any bus stop.
・Do not chat loudly.
・Do not drink or eat in the bus or occupy other seat(s) for your friend.
・Do not use your cellular phone in the bus. Keep the cellular phone in silent mode.

Commuting by car or motorcycle
Before obtaining a license to drive a car or motorcycle, you must notify the International Exchange and Overseas Students Support Section. Conditions for permission of commuting by car or motorcycle (of a 125cc or larger engine size) and rules for using it: (1) The student lives in an area that is extremely inconvenient for using public transportation or
school bus to commute. (2) The student must take out a voluntary insurance (coverage in principle: unlimited for bodily
injury, and at least 20,000,000 yen for property damage / passengers’ injury) (3) The student must participate in the annual lecture on traffic safety held by CGU. (4) If the parking lot is full, use of a car/motorcycle may be restricted. The priority is given to
seniority and remoteness. (5) The student must pay the parking management fee (12,000 yen/year) for the maintenance,
cleaning, etc. of the parking lot.

5. On-campus Facilities
Library
The library houses domestic and international books, magazines, newspapers, DVDs and other audiovisual materials to provide various information.
(1) Hours open
※ The library may be closed on Saturdays, Sundays and national holidays.
※ The information about any temporary change of hours open or temporary closing of the
library will be posted on our website.
(2) The Libraries close on the following days:
Anniversary of foundation, year-end and new year holidays, and other days (specified by the Library Director as necessary in particular)
(3) Reading/viewing in the library
Students may freely read/view any books and other materials in the library, including those in the stack room. Chatting, eating, drinking and use of cellular phone are prohibited in the library. Any books/materials taken out from the rack should be returned in place not to trouble the next user.

・ Disciplinary action may be taken against any particularly malicious act, such as

(4) Number of books that can be borrowed / Lending period
(5) To borrow books, bring the books you want to borrow and your student ID card to the library
counter for check out. (6) Borrowed books must be handled with care and returned to the library within the lending
period. If you lost or damaged any book, you must compensate for it.
※ Caution: If you have any overdue book, you are unable to borrow any more books. Be sure to return borrowed books within the lending period.
Education Research Support Section
Ask the Education Research Support Section staff if you want to know how to use the equipment (PCs, printers, and so on) in the computer room, if you have an issue or if you have a question.
(1) To use a PC in the computer room or the Chubu Gakuin portal (individual learning management system), the ID and password issued during the “Theory of Information Utilization I” are required.
(2) Eating and drinking in the classroom is prohibited. Follow the rules of the computer room.

Campus) staff if you have any questions about using the computer room or if you forget your password for logging onto the computers.

Healthcare Room
If you get injured or feel ill on campus, you may visit Healthcare Room to receive first aid and/or rest for a while. If you need any treatment, the healthcare room staff may introduce some medical institutions.
All students are scheduled to have “regular health checkup” in every April.

No smoking or alcohol-drinking on campus
(1) Since April 2006, we have designated our premises and the area about 100m around as “no-smoking area.” Not only all students but also all faculty members and staff members as well as visitors may not smoke in this area. Any student who violates this rule would be subject to punishment. All new students are requested to submit a “Written Pledge of No Smoking.”
(2) Any alcohol drinking on campus is not permitted.
Health management
(1) Keep regular hours in your life, and ensure enough sleep.
(2) Eat a well-balanced diet, and avoid getting overstressed.
(3) Make it a habit to periodically clean your room and do the laundry.
6. Enrollment Record, Commendation and Disciplinary Punishment

※ If an overseas student applies for the extension of period of stay in order to repeat
the same course, the extension is not permitted unless there is any reasonable reason (disease or any unavoidable reason).

Leave of absence
(1) Those students who are unable to attend school for consecutive three months or longer due to disease or any unavoidable reason may take a leave of absence up to one year. If there is any special reason, the length of the leave may be extended. The period of the leave shall not be included in the course term or counted in the enrollment term limit. The total period of the leaves of absence shall not exceed four years for the university or two years for the Junior College.
(2) Those students who want to be take a leave of absence shall fill in the “Notification of Leave of Absence” form and submit it to the Educational Affairs Section staff. (Attach a medical certificate if the reason of leave is disease or injury). Students taking a leave of absence must pay 100,000 yen per year (or 50,000 yen per semester) to maintain the enrollment.
※ Leave of absence for students in the Preparatory Department is not allowed, in
principle.
Re-enrollment
If the problem causing a leave of absence is solved during the period of the leave, fill in the “Application for Re-enrollment” form and submit it to the Educational Affairs Section staff. (Attach a medical certificate if the reason of leave is disease or injury).
Withdrawal
(1) Voluntary withdrawal: Those students who intend to withdraw from school due to disease or any unavoidable reason shall fill in the “Application for Withdrawal” form and submit it to the Educational Affairs Section staff.
(2) Punitive withdrawal: Withdrawal may be forced in accordance with our school regulations.
Dis-enrollment
The following students may be dis-enrolled: (1) Anyone who neglects his/her duty to pay the tuition or any amount payable and fail to pay
it even after receiving a reminder of payment (2) Anyone who exceeds the enrollment term limit specified by our school regulations (3) Anyone who fails to return to school for re-enrollment even after the period of a leave of
absence expires (4) Anyone whose whereabouts remain unknown for over one month (5) Anyone who is found to have engaged in activity other than that permitted by the status of
residence previously granted or obtained illegal employment, or has been placed under arrest or taken into custody
(6) Anyone who is found to have made false declaration to acquire a status of residence “Student”
Due date for school fee payment
Students must pay the correct amount of school fees by the following due dates. The payment is one of the requirements for staying enrolled in the university. The certificate of bank transfer serves as an official receipt and must be retained for at least one year from the payment.
For the first semester: April 20

※ Be sure to pay by the due date!
Commendation
Commendations may be given to students who are excellent in conduct and academic performance and regarded as a role mode of students.

Disciplinary punishment
Any student who violates any of our school regulations or rules, refuses our orders, or conducts any act that should not be done by a student are subject to disciplinary punishment according to the circumstances and/or severity of non-compliance.
Medical care and health insurance
All the non-Japanese who stay in Japan for one year or longer have to take out the National Health Insurance (NHI). To take out NHI, it is necessary to pay a specified premium every month, but a bearer of NHI card has to only pay 30% of the total medical expenses (to which the Health Insurance Act is applicable) for medical examination or treatment provided by any medical institution that is authorized to accept patients with health insurance. The insurance premium may be reduced depending on the income of the insured.
※ The arrangement for taking out NHI will be made at the city hall upon acceptance.
※ You may be requested to show your NHI card when you apply for visa renewal of
alteration. Note that you must pay the premium periodically.
7. Life in Japan
Bank account / How to use ATM (Automated Teller Machine)
(1) When an overseas student renews his/her visa, it may be required to submit the photocopy of his/her passbook pages to the Immigration Bureau. Therefore, be sure to open a bank account in your name to have the passbook.
(2) The amount and payer name that have been entered in the contract will be surely written on your passbook. If you receive money from an expense payer in Japan, from your country, from your employer (if you are working part-time) or the like by bank transfer, the payer and the amount received should be made clear, as well as the amount you paid for utilities (electricity, gas, water, telephone, etc.).
(3) When you open a bank account, have the bank issue your “ATM card” together with a passbook. To issue the card, your PIN (personal identification number) has to be registered, and do not tell the registered PIN to anyone.
(4) To “withdraw” cash from your account, use an “ATM” of the bank that has issued your passbook. You can use an ATM in a convenience store if the name of your bank is indicated on the ATM.
(5) If you change your address, phone number, registered seal or the like, notify your bank of the change. If you have lost your ATM card, immediately notify your bank or IEOSC.

“My Number”
You will receive your Individual Number Card approximately two weeks after registering your personal information at city hall. Each “My Number” is used for the procedures of part-time job, taxation, social security, etc.
※ The “My Number Notice Card” you have received contains important personal data,
including your personal ID number, name, date of birth and address. Keep this card safe together with your passport.
Purchase of your cellular phone
If you have any questions about purchasing a cellular phone, ask the International Exchange and Overseas Students Support Section staff.
Living in the apartment house
Whether your apartment house life goes well or not depends on your ability of self-control, and you must assume responsibility for all your behavior. Observe the following precautions so that you can stay healthy and well-disciplined to live a comfortable apartment house life:
(1) Use the room specified at the time of contract. Do not change the room without permission.
(2) Clean your room regularly.
・ Note that the drain pipe of the bathroom can be clogged with hair, etc.
(3) Do not flush the lavatory with anything other than toilet paper.
(4) Do not discharge oil, leftover meals, etc. through the drain pipe of the sink.
(5) Sort garbage as specified and take them to the collection site:

(6) Never smoke in bed. Put a cigarette butt in an ashtray.
(7) Do not throw anything out of the window.
(8) Do not speak loudly outside your room. Be careful particularly at night.
(9) If you have any trouble in utilities, such as electricity, gas and city water, tell the contact the administrator of your apartment house or the IEOSC staff.
(10) The IEOSC staff will visit your room periodically. (11) Do not appear in only underwear (stripped to the waist) outside your room or at any public
place. (12) As for the acceptance of your boyfriends or girlfriends into your room, use moderation and
observe the rules.

Traffic rules for bicycles
When riding a bicycle, observe the traffic rules:
When riding a bicycle on a sidewalk, Stop at a red light in the same way keep to the roadway side. as on a car. When riding a bicycle on a roadway, keep to the sidewalk side.
Turn ON the bicycle light at night. Do not ride double on a bicycle.
※ Be sure to park you bicycle at a bicycle parking. Otherwise, it may be taken away.

To protect your bicycle from theft:
① Complete the theft prevention registration of your bicycle. (The possibility of finding a
stolen bicycle is increased by the registration.)
② Write your name and school name on the front/back side of your bicycle.
③ Put locks on both the front and rear wheels (with two locks).
Traffic accident
If you are involved in a traffic accident, ask the name, address and phone number of the other party, and call the police on the spot (and call an ambulance depending on the severity of injury). If you are unable to call on your own, ask the other party to call. Contact the International Exchange and Overseas Students Support Section staff as soon as possible and do not negotiate with the other party by yourself.

8. Status of residence
Alien registration
Any foreigner who came to live in Japan must bring his/her residence card to the local government office of the residence area to complete the registration as a foreign resident within 14 days after fixing his/her residence.

○ Carrying/showing your residence card
Always carry your residence card. Show it whenever you are asked so by an immigration inspector, an immigration control officer, a police officer or a local government officer for execution of their duties. You do not need to always carry your passport as long as you have your residence card.
※ How to fill in the form and the registration procedure will be explained in the orientation
following the immigration.
Registration of alternation of registered items
If any alternation was made in your name, nationality, address, status of residence, period of stay, etc. or your passport was renewed, you must visit the local government office to complete the registration of such alternation within 14 days from the alternation.

Re-issuance of residence card
If your residence card was lost, stolen, heavily soiled or damaged, you must visit the regional immigration bureau to apply for re-issuance of your residence card within 14 days from the accident.

Extension of period of stay
The period of stay under a status of residence “Student” is “1 year,” “1 year and 3 months,” “2 years” or “2 years and 3 months.” The period of stay can be extended by following the specified procedure. The application for the extension of period of stay is accepted from around 3 months before the present period of stay expires. However, the application may not be accepted if the applicant has poor class attendance or has not earned enough credits.

※ In principle, only students who have met the advancement requirements defined by
each faculty/department can apply for the extension of period of stay.
Activities other than that permitted
Those who stay in Japan under a status of residence “Student” shall only engage in the activity of learning in educational institutes or the like and are not permitted to engage in any other activity, including part-time job. To work part-time, overseas students must obtain the “permission to engage in activity other than that permitted by the status of residence previously granted.” Any student working part-time without this permission is subject to punishment.

〈Precaution〉
There are restrictions on the hours and type of the part-time job permitted for overseas students. Non-conformance to these rules leads to deportation and/or punishment. When you have obtained permission to engage in activity other than that permitted by the status of residence previously granted from the Immigration Bureau and start working part-time, you must submit the "Application Form for Permit for Part-time Job for Overseas Students" to the International Exchange and Overseas Students Support Section.

※ For the first year after immigrating to Japan, the university grants permission for a part-time
① The student shall prioritize studying and not allow any part-time job to affect their studies at school.
② Working hours shall not exceed 28 hours. (Up to 8 hours/day during a long holiday period
③ It is prohibited to engage in adult-entertainment business (hostess bars, pachinko parlors, etc.) or work in a place where any adult-entertainment-related business is run.
④ The application for the above permission is made collectively by IEOSC. (If you apply on your own, submit the copy of the filled application form to the Center.)

※ If an undergraduate student works part-time without permission for one month, the
scholarship for that month will not be granted.
Temporary return to home county
If you return to your home country temporarily during a long holiday period or in an urgently manner, you must submit the “Notification of Temporary Return” to the IEOSC beforehand. Also notify the Center of the scheduled departure and return dates.
〔Precautions〕
According to the revised re-entry permit system dated July 9 (Mon), 2012, the re-entry permit is not required for those who re-enter Japan within one year of the exit, provided that the residence card shall be presented at the time of exit from Japan and re-entry to Japan.
※ Temporary return to home county is allowed only during a long holiday period unless there
is any special reason. Students must return from home country by the schooling restarts.
※ If you have any special reason, such as serious health problem of your parent, you must
submit a document that proves the situation to IEOSC, and return from your home country within the specified period.

Overseas students who have passed Level N1 of Japanese Language Proficiency Test can
acquire the credits of the “Linguistic Expression Activities IV-1, 2, 3 and 4” courses upon application. Those who have attended the “Linguistic Expression Activities IV-1, 2, 3 and 4” courses and earned their credits but not have passed Level N1 of JLPT can audit the class of these courses by obtaining the permission for auditing. However, the auditors are not eligible to earn the credits.

We have a tuition reduction system for privately financed overseas students who:
・Stay in Japan under the status of residence “Student” and;
・Have difficulty in studying for economic reasons but satisfy the following conditions:
① The motivation for learning is high and there is no problem in attitudes toward life; and
② The annual income of their expense payer is less than 5,000,000 yen.

⑤ Applied for withdrawal from school or transfer to any other school;

3. Class, Attendance/Absence, Class Cancellation and Examinations
Class Rules
(1) In class, eating and drinking is prohibited unless the beverage is in container with a cap or lid. (2) If you feel physically sick, report to the teacher in charge. (3) In any case, do not chat whether in Japanese or in your native language. (4) Be sure to keep your cellular phone OFF. In class, do not keep your cellular phone ON even if it
is in silent mode or vibration mode.
Notification of Change in Class Time Table
(1) All notices to students will be posted on the bulletin board of the classroom for PDOS. Even if you missed the notice, there is no excuse for it. Be sure to check the bulletin board every day.
(2) It is not possible to get any information about class time table change, examination time table, results of examination, etc. by phone.

Absence, Lateness and Leaving Early
(1) Students who were absent from more than 1/5 of the total number of classes of a subject are ineligible to take the examination of that subject. Depending on the reason for absence, however, the eligibility may be reconsidered. Ask the Educational Affairs Section staff for details.
(2) Showing up at a class after 20 minutes from the class start is treated as lateness.
(3) If you will be absent from, come late to, or leave a class early, fill out the “Notification of Absence/Lateness/Early Leaving” and submit it in advance to International Exchange and Overseas Students Support Section (IEOSS Section).
(4) If you must be absent from or come late to a class for an unexpected reason, inform the IEOSS Section by phone up to the start of that class. The next time you attend, visit IEOSS Section to obtain, fill out and submit the “Notification of Absence/Lateness/Early Leaving” form.
(5) If there was a definite reason, such as disease, submit a “medical certificate” or the like together with the “Notification of Absence / Lateness / Early Leaving” to IEOSC. Attendance shall be reduced by one, but if a medical certificate or the like is submitted, a consideration may be made, and the student may be eligible to take the regular examination.
(6) An attendance rate of 90% or more is desirable for students who will renew their visa to, for example, advance to the upper course after completion of the PDOS program.

Periodic Examination
(1) Periodic examinations include semester-end examination, academic year-end examination and subject-specific periodic examination.
(2) For each subject, small tests and/or summary tests are given as needed. (3) Students who were absent from more than 1/5 of the total number of classes of a subject are
ineligible to take the periodic examination of that subject. (4) Any student not registered to take the class of a subject is ineligible to take the examination of
that subject.
4. Advancement to Chubu Gakuin University / Chubu Gakuin College The students who completed the program of PDOS are eligible to advance to Chubu Gakuin University or Chubu Gakuin College.
