FIREHOUSE REPORT INSTRUCTIONS

Recording Call Back Personnel

1. Starting the Process

After completing the “Units & Personnel” module in NFIRS for the on-duty personnel, click on the “All Staff Activities” button to start entering call your personnel information.

2. Staff Activity Screen

The following screen will open up after clicking on the “All Staff Activities” button. Click on the “Add” button to continue.

The following screen will open up after you click on the “Add” button on the “Incident Activities” screen. The first step is to select the “Default Activity Code”. Click on the 3-dot box to open the “Lookup – Staff Activity Types” screen to select the correct activity code.

3. Lookup - Staff Activity Types

After the “Lookup – Staff Activity Types” screen opens, click on the “+” sign in front of “INCIDENT”. The two choices for entering call back are, SCENE - Respond to Scene STAT - Standby at Station After making your selection, click on the “OK” button.

4. Completing the Staff Activity Screen

After making the appropriate selection, you can proceed with finishing the basic staff activity record. The “Start Time” and “End Time” need to be filled in with the incident times. The “Unit” type needs changed to “POV”. If the hours worked are less than “2.11”, change the hours paid box to “2.00”.

For any call back that is greater than or equal to 2.12 hours, use the following rule,

If hours worked is between 2.12 and 3.11 hours, change the hours box paid to 3.00 hours, If hours worked is between 3.12 and 4.11 hours, change the hours box paid to 4.00 hours If hours worked is between 4.12 and 5.11 hours, change the hour’s box paid to 5.00 hours, etc.

If the personnel responding to this call back were at the scene of the incident, their records need to be linked to the NFIRS incident report.

Check the “Count this activity as part of incident response” box to include these personnel. If the personnel responding to this call back were covering the station during this incident, do not check the “Count this activity as part of incident response” box.

5. Entering Personnel Records For full-time personnel there are several codes that can be used. The code “Call Back, 2 Hr.” is for

personnel whose overtime rate is less than the $25 per hour. The code “Call Back, OT” is for personnel whose overtime rate is greater than the $25 per hour. These codes are for fire, medical and haz mat call backs.

For paid on call personnel only use the code “Call Back – Paid on Call” for any type of paid on call

response. “Haz Mat Team Leader” and “Haz Mat Team Member” codes are used for responses by haz mat

team members only. If you are only adding one call back person follow the steps listed in section 5a. For all other situations

use the steps listed in 5b.

5a. Entering a Single Personnel Record

Next the name of the responding person needs to be entered into the activity screen. Start by clicking on the “Add” button on the “Staff Activity” screen.

When the “Participant Detail” screen opens it will look like the picture on the left. The “Staff ID” field will need to be completed. You can find the staff ID on the department phone list. Additionally the “Activity Code” needs to be changed to reflect the call back status. To change the “Activity Code” click on the 3-dot box.

After opening the “Lookup - Staff Activity” table, click on the “+” sign in front of “CALLBACK”. There you will find four additional sub-categories for call back. They are, FIRE – Call Back Codes - Fire HAZ MAT – Call Back Codes – Haz Mat MEDICAL – Call Back Codes - Medical VOL – Call Back Codes – Paid on Call

Select the proper category by clicking on the “+” sign next to it. The choices for each of the categories include:

FIRE HAZ MAT MEDICAL VOL Call Back, 2 Hr. – Fire Call Back, OT- Fire

Call Back, 2 Hr. – Haz Mat Call Back, OT- Haz Mat Call Back, - Haz Mat Team Leader Call Back, - Haz Mat Team Member

Call Back, 2 Hr. – Medical Call Back, OT- Medical

Call Back – Paid on Call

Once you have made your selections click on “OK” to go back to the “Participant Detail” screen.

When you return to the “Participant Detail” screen, it should look similar to the picture on the left. If everything is satisfactory click on the “Save” button to return to the “Staff Activity” screen.

When you return to the “Staff Activity” screen, it will look similar to the picture on the left. If everything is correct, click on the “Save” button to continue. After you click the “Save” button, you will be returned to the “Incident Activities” screen for this particular incident.

If you need to add an additional activity, repeat steps 1 – 5 to enter these activities. If you are finished click the “Close” button to continue entering your NFIRS incident report.

5b. Entering Multiple Personnel Records

The names of the responding personnel need to be entered into the “Staff Activity”. Start by clicking on the “Add Group” button on the “Staff Activity” screen.

The “Staff Group Select” screen will open. To find the appropriate personnel click on the “Saved Groups” tab, then select the “Group” you wish to use. Next select the personnel who responded to the incident. Select the first name and then holding the “Ctrl” key down, click on any additional names. Once all the names have been selected press “OK” to go to the “Group Add” screen.

At this point the “Group Add” screen should look similar to the picture on the left. If everything is correct, click on “OK” to proceed adding these personnel to the call back activity.

Click on the “Yes” button to finish adding the records to the staff activity screen.

Your staff activity screen will look similar to the picture on the left. We now need to change the activity pay codes for each of the personnel. Click on the “Edit Group” to bring up the “Staff Activity – Group Update” screen.

Next select the personnel who you wish to change the pay codes for. Select the first name and then holding the “Ctrl” key down, click on any additional names you wish to select. Check the box next “Activity Code” to change the pay code. Click on the 3-dot box to bring up the “Lookup - Staff Activity Types”.

When you are finished updating the personnel pay codes your screen will look similar to the screen on the left. If everything is correct, click on the “Save” button to continue. After you click the “Save” button, you will be returned to the “Incident Activities” screen for this particular incident.

If you need to add an additional activity, repeat steps 1 – 5 to enter these activities. If you are finished click the “Close” button to continue entering your NFIRS incident report.
