9. FLOOR LOADINGS• Anyexhibitororcontractorwhoplansonhavingheavymachineryordisplay itemsontheirstandsor

featureswhichexceed1,000kgpersquaremetreMUSTsubmittheirplanstotheOrganisersforpriorapprovalfromthevenue.Failuretonotifythevenueofanyheavyitemsthataretobedisplayedonthestand or feature space will result in the item(s) not being permitted to enter the halls. This is non-negotiable.

• All heavy items must have Uniformly Distributed Load (UDL) while spreader plates are mandatory.Spreaderplatesshouldbesuppliedbytheexhibitorortheircontractorandshouldbefitforpurpose.

10. HEALTH & SAFETY REQUIREMENTS • Electroniccopiesofallplansforeachstandororganiserfeaturethatisclassedasa‘complexstructure’

arerequiredtobesubmittedforvenueinspection. TheinspectionwillbecarriedoutbytheADNECStructuralEngineer.

• Acomplexstructureisdefinedas:

o Anyelementrequiringstructuralbracingtoachievestability,irrespectiveofheight.

o Afitting,component,partordecorativeelement,otherthananexhibitedproduct,thatexceeds4.0minheightfromthegroundflooroftheoverallstructure.

o Adoublestory,upperlevelormultipledeck.

o Stairs,stepsorrampshavingatotalriserabove600mm.

o Aplatform,stage,KosherorDaisabove600mminheighttowhichpeoplehaveaccess.

o Atieredgrandstandseatingorraisedhospitalityplatformunit,irrespectiveofcapacity.

• Allstands,andinparticularcomplexstructures,areinspectedregularlythroughoutthebuild-upphaseofyourevent.

• HotWorking:Anyexhibitororcontractorwishingtocarryoutworkthatgeneratesheat(grinding,weldingetc.)mustapplytotheADNECFacilitiesManagementDepartmentinadvanceofthisworkbeingcarriedout.Failuretoobtainpermissionpriortosuchworkwillresultintheworkbeingstopped.HotworkingcanonlytakeplaceoutsideoftheADNEChalls.Forthisreason,itisrecommendedthatexhibitorsandtheircontractorsareadvisedthattheyshouldprefabricateasmuchoftheirstandoff-siteaspossible.

• Thevenueisequippedwithfirecallpointsandfireextinguishersinallinternallocation.Thereisalsoafiredetectionandsprinklersysteminoperation.FireemergenciesandresponsearecoveredbyAbuDhabi Civil Defence.

• Itisessentialthatthesubmittedand‘as-built’floorplancomplieswithADNEC,EHSMSandCivilDefenceRulesandRegulationsonFloorplansandLayouts.ThisinformationcanbefoundontheADNECwebsite:www.adnec.ae.

• Theexhibitor isalsoresponsible legally forcomplyingwiththeUAEFireLifeSafetyCodeconcerningmeans of egress.

• ElectricalworksandconnectionsmustbeasperADNEC’s(EHSMS)RegulatoryCodeofPractice(fullcopy available on www.adnec.ae

• Dusting /Sanding /Grindingworks tobecarriedout in thecontractorworkshopsbeforearrivingonsite,oroutsideofthehallsifneedingtobeconductedonsite.Onlyessentialandfinaltouch-upswillbeallowed inside.

o Theymustusethepropersandingmachineswithbuilt-insuctiontoextractdustimmediately.Photosforreferencebelow.

• PPE:PleasebeinformedthatNOworkwillbeallowedwithoutadequatePPEforthejob/task.

o Minimum requirement includes (Steel Toe Safety Shoes, Gloves, High Vis jackets and Hard hat).However, the requirement varies as per the task.

o ADNECwilloperatePPEsellingfacilityonsitefortheirconvenience,locationofthistobeadvisedinduecourse.

• Workatheightequipment(Ladders,scaffolds)mustbeinmaintainedandassembleingoodcondition.Anyequipmentdeemedasunsafewillnotbepermitted.

• Forklift / MEWP (Cherry pickers and Scissor Lift) operators must carry a valid license and trainingcertificatetooperate(IPAFetc.)Anyonefoundoperatingthemwithoutlicensewillbeheldandmaybereferred to authorities. We cannot jeopardize the safety of people and our facility.

• Cablerampsfortrailingcablesmustbefactoredinbytheorganizerpriortoopeningtheshow.

• EmergencyGangways/ExitsandFirehosecabinetsmustbekeptclearandavailableatalltimes.

• AnyhotworkinthesitewillhavetohaveaHOTworkpermitfromFMandHSE.

• SAFETYSIGNAGE:Additionalsignagemustbeinstalledforanyfixed-venuesignageblockedbycurtainsorstands(Exits,firehosecabinets)

• DoubleDeckerStands:FireExtinguishersarerequiredfortheDoubleDeckerstands(upperfloors)

• ComplexStructures:StructuralCalculations,technicaldataandfireretardancycertificatesarerequiredforanycomplexstructures.

11. SUB-CONTRACTOR It is extremely important that the following rules and regulations are adhered to:

• Any contractors who sub-contract work must have an official agreement, in writing, between thetwo parties, under the official agreement of “Subcontract Agreement No:” In order to ensure thisdocumentationwillbeacceptedbyADNECaccessControlAreas,thetwopartiesmusthaveboththeircompany stamps shown on the documentation.

• Alllabourersmustprovidealabourcardthatendorsestheiremploymentwitheitherthecontractorand/orsub-contractor.

12. CONTRACTOR ACCESS & BADGES It is the duty of every contractor and sub-contractor to comply with the rules of the health and safetyregulations and legislation in force in the UAE and the Emirate of Abu Dhabi (OSHAD).

ContractorsshouldbeawareoftherequirementsofADNECandAbuDhabiHealthandSafetythatexistinrelationtotheconstruction,designandexecutionoftheexhibitionsandevents.FurtherdetailisavailableonADNECwebsite(www.adnec.ae)andwww.oshad.aeADEHSMSRF-TG-ManagementofContractors-V2.0-February2012

Contractors Entrance Contractors who access ADNEC must follow the following procedures:

• ProceedtotheBadgeissuancelocationsituatedattheGates(2,4,and7).

• SubmitnecessarydocumentslikeLabourCardorothervalididentificationtocollectthebadge.

• ContractorsmustfollowADNECContractorProceduresuponenteringADNECpremises.

Note:Thispolicyisapplicabletoexhibitionandconferencecontractors.

IMMIGRATION & LABOUR LAW (PLEASE TAKE TIME TO READ THIS SECTION CAREFULLY)

• UAE Labour Law prohibits the hiring or contracting of any illegal labour. Organisers, Exhibitors andContractorsviolatingthislawcanbesentencedtoonemonthjailandfinedupto50,000dirhamsperperson.

• TheUAEImmigrationControlDepartmentmakeregularunannouncedinspectionsatADNEC.

• ADNECSecurityareresponsiblefortheaccesscontroltothebuilding.

• ADNEC’sSurveillanceTeamwascreatedasasafetynetinanattempttopreventanysuchspotchecksfinding illegal workers on the premises. ADNEC’s main aim is for you and your exhibitors to have asmoothandsuccessfulBuildUp,OpenPeriodandBreakDown.Pleaseensure,therefore,thatallofyourexhibitorsandcontractorsarefullyawareofthisUAElaw.

• TheUAEgovernmentisphasingoutLabourcards,effectivefrom2015.Therefore,ALLlabourersmustbeabletoproducetheirEmiratesIDcardtogetherwithaphotocopyoftheirUAEvisashowingtheirsponsorname.

• OnlyavalidEmiratesIDcardtogetherwithacopyofthevisawillpermitaccessintoADNEC.

• AnyothercardswillNOTpermitaccess(drivinglicense,medicalcard,etc.).

SECTION B: EXHIBITOR SERVICES

13. STAND CONSTRUCTIONa.TheorganisershaveappointedTopExhibitionsastheofficialstandcontractor.TopExhibitionswillbe

responsibleforthesupervision,buildupofstandsandprovidefulltechnicalservicesattheexhibition.They are also responsible for stand servicing and maintenance through their contractors or sub-contractorsforthewholeperiodoftheexhibition

b.Bigdothasbeenappointedastheofficialcontractorforshellschemeconstruction.Bigdotisalsothepreferredandrecommendedstandcontractorforspaceonlystands

14. FURNITURE & DISPLAY AIDS REQUIREMENTTheOfficialStandContractoroffersfurnitureanddisplayequipmentonarentalbasisforthedurationoftheexhibition.PleaserefertoFurniture/DisplayAidsOrderFormNo12

15. ELECTRICAL REQUIREMENT• Pleasenotethatallexhibitors,shellschemeandspaceonlystandshavetoapplyformainpowersupply

• AllelectricalrequirementmustbeundertakenandapprovedbytheofficialContractor.Pleaserefertoform 11.

16. STORAGE OF EMPTY CRATES AND BOXESThe Exhibitors are not allowed to store boxes or crates within the exhibition halls. It is the exhibitor’sresponsibilitytoensurethatcratesandboxesarequicklydisposedorstoreduntilrequiredforreshipmentattheendoftheexhibition.

17. INSURANCE SERVICESTheexhibitorsshallindemnifyandholdharmlessINDEXConferences&ExhibitionsOrganisationEst.,itspersonnel,agents,etc.againstandfromallliabilities,losses,damages,costs,charges,expenses,actions,proceedings,claimsanddemandsincurredbyitandthemasaresultofor inconnectionwithanyloss,injury(includingdeath)ordamagedirectlyorindirectlyresultingfromanyactoromissionoftheexhibitororanyofitspersonnel,agents,contractors,andsub-contractors.

TheexhibitorshallensurethatthePublicLiabilityPolicyreferredtoabove,containsawaiverbytheinsurersofanyandallrightsofsubrogation.TheymightotherwisebeabletoexerciseagainsttheOrganisersoranyofitsdirectors,officers,employeesandagents.TheOrganisershallbeentitledtoinspecttheaforementionedpolicy.

18. STAND CLEANING SERVICESThe organizers will arrange for the general cleaning of the exhibition halls. Please refer to Stand Cleaning Services Order Form 7.

• Any rubbish or waste generated above your contractual allowance will be charged back to you. It isimportant to ensure all of your contractors and exhibitors are aware of this.

• Skipscanbepre-orderedbyanyofyourexhibitorsorcontractors.

• Itisalsoimperativethatthebuild-upiscompletedbytheagreedtime.Failuretoadheretotheagreedcompletion timingsmayresult infines.

19. STAND CATERING SERVICES Stand catering services are provided by ADNEC. Please refer to Stand Catering Services Order Form 6

• CapitalHospitalityhasthesolerighttosupplyallcateringserviceswithinthevenue.ExternalcateringisnotpermittedwithinADNEC.

• BuildUp–ADNECCateringDepartmentwillconfirmlocationofcateringpointswithintheexhibitionandwidervenuetoincludeopeningandclosingtimes.Operatingtimeswillbebaseduponthebuild-uptimesaspublishedinyourExhibitorManual.

• OpenPeriod–ADNECCateringDepartmentwillconfirmlocationofcateringpointswithintheexhibitiontoincludeopeningandclosingtimes.Operatingtimeswillbebasedupontheexhibitionopeningtimesandvisitorprofile.InformationrelatingtoservicesonofferintheFoodCourtareawillalsobedetailed.

• BreakDown-CateringDepartmenttoconfirmlocationofcateringpointswithintheexhibitiontoincludeopeningandclosingtimes.OperatingtimeswillbebaseduponthebreakdowntimesaspublishedinyourExhibitorManual.

• OnlastdayofOpen,allin-hallandConcoursecateringareaswillcloseonehourbeforetheendoftheexhibitionunlessalternativearrangementshavebeenpreviouslyagreed.TheCateringdepartmentwillbeinstructedthatnofurnitureistoberemovedfromanycateringareasuntiltheshowhasclosed.

Wireless Broadcast Prohibition at ADNEC

• Privatewirelessroutersandbroadcasts(IEEE802.11)arenotpermittedwithinADNEC.Privatewirelessnetworksareoftenunstableanddonotfunctionasintendedduringexhibitions.Thisisduetothemyriadofcompetingandoverlappingwirelessbroadcastsoperatingincloseproximitytoeachother.Themorewirelessbroadcasts inoperation inagivenarea,themore interferenceisgeneratedresulting inlessstable wireless connections for all parties. For this reason, non-ADNEC wireless broadcasts will beterminatedinordertomitigatewirelessinterferenceproblemsandensureservicestabilityandcontinuityforallexhibitors.
