1. IntroductionThe Travel Agent Application is a browser- based, front office reservation tool that enables Travel Agents to market and sell car hire offers.

It is designed to help Travel Agents easily book rental cars online for their clients. It provides agents with more flexibility when searching for cars.

Our objective is to provide a tool that enables you to serve your clients quickly, easily and competently.

3. How to use the CarTrawler Travel Agent App:

Logging In

Your username and password will have been set up in advance by the travel agency supervisor.

*Please note that once you’ve logged in, a different window will pop up, which is the one that you’ll need to use.

Making a Booking

Step 1 – Enter search criteria

Step 2 – Choose car

You can up-sell and match the vehicle to your customer’s requirements. For example, the size of the travelling party will determine the size if the vehicle required.

*Hint* You can initially quote the customer an intermediate size vehicle which is most likely to match their requirements. From that, some customers will stipulate a smaller or larger car choice

The agent has easy access to all of the relevant information for the vehicle. The rental conditions can

be viewed for each vehicle by clicking the button, as per above. It is important to explain the Insurance Policy, Fuel Policy and inform the customer that the lead driver must present a credit card in their name at the rental desk. A full glossary of terms is provided in Appendix A. At this point the search can also be changed or refined using the panel on the left hand side.

The listing of the cars can also be changed to list by company, car type or price.

At this point the agent can also change the selling price to the customer. The display lists the CarTrawler price, the mark-up and the selling price. If the agent feels that the customer is willing to pay more, then a further mark-up can be added up to the amount agreed in the contract between CarTrawler and the travel agency. To change the price, simply click on the Sell Price for the chosen vehicle. This brings up the following screen:

Simply enter the new selling price up to the agreed percentage mark-up which is unlimited

This new price is then what is given to the prospective customer.

The Travel Agent’s email address is pre- populated in the email field. The confirmation voucher is sent directly to the Travel Agent, who will then forward confirmation voucher to the customer.

The Travel Agent will then receive an email informing them the rental is pending and then they will receive a Confirmation Voucher that they will send to the customer.

4. Booking Amendments

- Different login details are needed (you will be sent these too)- Once logged in with different username and password, you can manage/amend your booking

Amendments to existing bookings are facilitated via the ‘Manage Bookings’ screen.

Users are required to locate the booking requiring revision by entering relevant search criteria in the search form.

Search options are:

Locate by RESID; Locate by Email; Locate by surname. Locate by date (reservation date; pickup date; drop off date).

Having located the specific booking, users have the option to view, cancel or amend the booking using the buttons highlighted below:

The system will advise you whether the change you want to make can be done online or whether you need to speak to a CarTrawler agent.

View

By clicking the view icon, agents can view the reservation details such as date of pick up, location and payment at rental desk.

Amend

In order to manage your booking, you will need to click on your car hire voucher in your confirmation email, which will take you to the screen below. The customer can amend their booking at any point before the pickup time. In order to make amendments, just click ‘amend booking’ and this will take you to another page where you enter your amendment and click ‘log title’; this gets sent to a CarTrawler agent who will contact you to confirm the amendments and process them for you.

Cancel

To cancel a booking select the cancel icon, this will direct you to the Booking Cancel page. It is important to explain the cancellation policy number, then select ‘confirm I accept cancellation policy’, enter a reason and cancel. Your Agent will receive an email to confirm your cancellation within 24 hours.

IMPORTANT INFORMATION

Agent Payment Info

CarTrawler is a B2B booking engine, whereby you will be invoiced monthly for all completed bookings made in the previous month.

Once invoiced, you will then pay for any bookings in the same way as for other STA Travel products and these will appear on your statement.

The customer must pay you in full for the booking & we in turn will invoice you for the booking less your commission.

Young Driver’s Fee

For bookings in the US through Alamo and National (US) by residencies from UK, Europe, Middle East & Africa – the young driver additional charge has been removed.

Disregard the last line of the Driver’s Age policy with Alamo & National. This is a generic term that appears on all our suppliers T & C’s.

GPS Info

On Step 3 of the booking flow, you will have the option to add Special Equipment such as GPS. Some cars will come with GPS already installed; in that case, you don’t need to add GPS.

Please note, even if you did select a GPS, this extra is only requested with the supplier and must be paid on arrival. The customer can always choose to decline the Special Equipment at the desk.

Glossary of terms

Collision Damage Waiver (CDW)

If the rental vehicle is involved in a collision the customer is not liable for full amount of any damage caused. This is called a Collision Damage Waiver (CDW). The CDW usually carries an excess (“see below”) of a certain amount and often excludes glass, tyres and any towing. This means that, in the event of an accident, the customer will have to pay a certain amount and this amount will be blocked on their credit card at pickup.

Excess

When a car is hired, CDW, Theft and Third Party Liability are generally included in the car rental price. There is almost always an Excess (also referred to as Super CDW, Non Waiver or Deductible) on the CDW and Theft portions of the rental. The Excess can range from about €250 upwards to over €2000 as the amount can vary from country to country and from supplier to supplier. This means that in the event of theft or damage to the rental vehicle, the customer must pay the Excess amount to the car rental company.

Damage Excess Reduction

This is an amount the customer pays per day to reduce the amount of Excess on the vehicle. This can include tax. This is payable at the rental pickup desk.

Theft Insurance

This removes or reduces the customer’s liability for the theft or attempted theft of the rented vehicle. The waiver may carry an excess/deductible amount, which means that the customer will be liable for a certain amount of the value of the vehicle damaged or stolen, for example up to first €2,000 of the damage. The Theft Insurance provided by the car rental company covers theft of the rental vehicle only. It does not cover your personal effects, which would normally be covered by either your travel insurance or your household insurance. There is generally an Excess on the theft portion of the rental.

Third Party Insurance

This is included in the rental price and means you will not be liability for damage caused to other vehicles. Regardless of the Excess on the CDW, the full cost of damages to a 3rd party is always covered in full.

Glass/Tyre Waiver

This removes or reduces the renter’s liability for damage to the windows or tyres. These are not covered in the Collision Damage Insurance. It is usually charged at a daily rate and is payable at the rental desk.

Personal Accident Insurance (PAI)

PAI insures the customer for the duration of the rental in the event of their accidental death or bodily injury (coverage is 24 hours a day, in or out of the car). The customer’s passengers are also covered while entering, occupying or exiting the vehicle. This cover is sold at the pickup counter. If you purchased personal travel insurance, you should check with your insurance company to see if this provides adequate cover. Most drivers decline this insurance.

Liability Insurance

Every country has a minimum amount of insurance needed for someone to be permitted to drive. This covers the customer’s liability for any damage caused to other people and/or other people’s property. It is usually limited to a maximum of €1,000,000. The insurance is limited and there may be excess, i.e. you may be liable for any amount over and above the value of the insurance.

Complete Cover Package

This is an insurance package that includes CDW, theft and third party insurance and reduces the excess significantly. It does not include Personal Accident Insurance or Glass/Tyre waiver. A fee for this is payable on arrival and is usually set at a daily rate. It can also include tax.
