Music OCLC Users Group: Call for Nominations (Board Positions)

The MOUG Nominating Committee seeks nominations for the offices of Secretary/Newsletter Editor (a 2-year commitment) and Continuing Education Coordinator (a 2-year commitment).  We will assemble a slate of candidates this summer for an election to be held in the fall.  Terms of office will begin at the end of the MOUG annual meeting to be held in San Diego, California, in March 2010. Below are brief descriptions of each office, paraphrased from the MOUG Bylaws and MOUG Handbook.

Secretary/Newsletter Editor:  The person in this position serves for 2 years.  The Secretary/Newsletter Editor serves as a member of the Executive Board and participates in general supervision of the organization's affairs.  He/she records the minutes of the annual business meeting and the sessions of the Executive Board, and carries out other administrative duties.  Additionally, the Secretary/Newsletter Editor is responsible for publication and distribution of the organization's tri-annual newsletter.

Continuing Education Coordinator:  The person in this position serves for 2 years.  The Continuing Education Coordinator serves as a member of the Executive Board and participates in general supervision of the organization's affairs.  He/she chairs the Program committee for the annual meeting, and oversees local arrangements and program planning/implementation for the annual meeting. 

If you would like to nominate someone (including yourself) for either office, or if you would like more information, please call or e-mail one of the committee members. For full consideration, please submit nominations by Friday, May 29, 2009, nominations received after that date may also be considered.  Candidates for office must be individual members of MOUG in good standing at the time the ballot is distributed.

Congratulations! The MOUG Board has approved the recommendation of the NACO-Music Project Advisory Committee that you be brought into the Project. The NACO-Music Project has an electronic mail list, NMP-L, to which you will be added. NMP-L is used for various purposes: to ask general questions concerning establishing a heading or citing information in the authority record, to make announcements of interest to all NMP participants, to announce new developments or revised documentation. Additionally, we receive regular statements of project statistics from the Library of Congress via NMP-L.

As the “Introduction” on the Web explains, NMP is administered through a funnel configuration. The NMP coordinator or independent NMP participants review the headings of new participants until they become independent. Those independent participants then review new participants’ headings until they too become independent. Independent status is defined as having the authority to contribute name and/or name-uniform title authority records without review. A participant can become independent in stages, with names first, then name/uniform titles, or for both at once. Independent status for an NMP participant is achieved through the NMP review and testing process, not through the status of the home institution.

[NMP Coordinator] will be contacting you soon to begin planning your training, assigning your reviewer, and other administrative matters. In the meantime, you may want to begin comparing your local cataloging documentation to the list given near the end of the “Introduction to the NACO-Music Project” mentioned above, making sure that you have access to current versions and obtaining those items that you don’t already have available to you. CALL FOR NOMINATIONS:2008 MOUG DISTINGUISHED SERVICE AWARD

Nominations are now being accepted for the [year] Music OCLC Users Group (MOUG) Distinguished Service Award. This award recognizes and honors someone who has made significant professional contributions to music users of OCLC. The MOUG Executive Board selects a recipient based on nominations received from the MOUG membership.

Eligibility for nomination is as follows:

Nominees must have made professional contributions that significantly address the needs and concerns of music-oriented users of OCLC’s products and services.

Nominees may be MOUG members, but membership in the organization is not a requirement.

The nomination must be accompanied by a statement that provides supporting evidence of the nominee’s qualifications.

The award recipient will receive an engraved plaque containing an inscription recognizing his or her special contribution to the field, complimentary registration for the MOUG meeting at which the award is being presented, and a lifetime complimentary membership to MOUG.

Music OCLC Users Group (MOUG) announces Ralph Papakhian Travel Grant; Call for Applications

At its 2010 summer meeting, the MOUG Executive Board voted to establish a travel grant in honor of Ralph Papakhian. The grant supports attendance at the annual MOUG meeting and, in recognition of Ralph’s mentoring role in music librarianship, is especially intended to support newer members of the profession in both public and technical services.

For this first year, the award offers free conference registration for the MOUG annual meeting (February 8-9, 2011, immediately preceding the MLA annual meeting); free MOUG membership for the 2011 calendar year, including three issues of the MOUG Newsletter; and reimbursement of up to $100 in associated expenses (lodging, meals, etc.) to a first-time MOUG attendee.

Preference will be given to applicants who are students, paraprofessionals, or professionals in the first five years of their professional careers. Applicants need not be members of MOUG.

Applications are due October 1, 2010 and shall consist of a letter that includes a rationale for attending the MOUG annual meeting, an explanation of financial need, a brief vita, and the name of at least one person who will submit a letter (also due October 1) in support of the application.

All application materials shall be sent by e-mail, either as in-text messages or as attachments in .pdf, .doc, or .docx format, to the MOUG Vice Chair, [NAME], [EMAIL]. Letters of support shall be sent directly by their authors, not by the applicants.

Applicants will be notified of the outcome by e-mail no later than November 1, 2010, and will be acknowledged at the MOUG 2011 annual meeting.

While your appointment is to be effective immediately so that you may begin work on the list, your official term of appointment (and that of your co-owner) is to be dated approximately four years from the close of the MOUG annual business meeting on February 20th, 2008 until the close of the annual business meeting four years from that date. It will be re-extended by mutual agreement between yourself and the Board every four years thereafter. This type of ongoing appointment is unique to the list owner among MOUG offices, and is intended to provide for a stable address for the discussion list.

The Music OCLC Users Group (MOUG) is seeking a new Web Keeper to edit, maintain, and manage the MOUG Web site (http://www.musicoclcusers.org/). The Web Keeper is responsible to the MOUG Board and works closely with all members of the Board.

Responsibilities:The individual is responsible for (1) updating the MOUG web site in a regular and timely manner, both independently and in coordination with MOUG Board members, so that the site accurately represents MOUG; and (2) maintaining and revising the structure and appearance of the site to ensure that the site is easy to navigate, inviting, and represents MOUG in a professional manner. The individual may help develop new content and uses for the site in coordination with MOUG Board members or designees. The individual works with the MOUG Treasurer and other MOUG Board members to ensure continued access to MOUG’s web hosting service. The individual submits bi-annual reports to the MOUG Board.

Required qualifications: Ability to write and edit basic HTML; knowledge of common Web browsers and file formats for graphics and text used in maintaining Web sites (.pdf, .GIF, .jpg, etc.); knowledge of basic data conversion tasks such as converting MS Word documents to Adobe PDF files; ability to edit documents for grammar, punctuation, and clarity. Willingness and ability to complete assigned tasks in a timely manner, especially page content updates.Current MOUG membership at time of appointment and throughout one’s tenure in the position.

Preferred qualifications:Project management skills. Experience with and access to Web editing software such as DreamWeaver. Experience in the Web environment using graphics software such as PhotoShop, and/or database management software such as MS Access. Previous experience as a Web site editor or manager for any organization (library/professional, charitable or service association, church, etc.).

Term of office:The Web Keeper serves for a one-year term, and reappointments occur by mutual agreement between the office holder and the MOUG Board annually thereafter.

Handbook RevisionsNavigation Tip

Word’s Document Map (a.k.a. Navigation Pane on Macintosh and Word 2010) lets you display a table of contents on the left side. There you can browse heading chapters (including subdivisions); you can also right click to set the desired heading levels (e.g., top level chapter headings or subheadings within). Find the Document Map under the View menu (you can assign a keyboard shortcut).

Mechanical Issues

Headers 1-4 are applied to section headers. This allows MOUG Board members to use the Document Map to more easily navigate the document. Using headers allows you to link to other places in the document without having to create bookmarks. They also allow you to automatically create and update a table of contents (as a whole or one line at a time). They also allow Handbook editors to quickly change formatting document wide.

When editing, don’t forget to fix hyperlinked cross references between major related sections. (To add or edit links, select Hyperlink under the Insert menu (or use control/command K), click Place in [this] Document (since references are all in the document itself), then scroll up in the “Look in” window to find and select the correct section heading. If you inserted bookmarks (and this document does have bookmarks at strategic points) you can also click on “Bookmarks” under the Locate button. (Bookmarks are not recommended, since they can easily get separated from the text to which they apply.)

To add page numbers to the table of contents, use the References Tab in word, click (it used to be the Insert Menu), select Cross Reference, then set it you can select a heading but display the page number. Link to HEADINGS, not to bookmarks, since bookmarks can become separated from their text. Be sure to update page numbers when you add/delete pages. To do this, right click on the page number and select Update Field in the resulting menu. If you select several lines first, it will update all of the selected page numbers. Make sure numbers really did update.

We’ve kept a wide left margin, so that someone viewing the Document Map and viewing the document at 100% can see all of the text in the page without scrolling left and right.
