1 SPRIG MINUTES SPRIG Process Group: Meeting Minutes 26 &29 March 2012: The meetings commenced at 7:30 pm In attendance Lois Richard Pete Tracey (from 8:45pm) Nancy (Thus) Amanda (Thus) Apologies Fiona Review DHCA AGM 19 March – communicated SPRIG progress, well received Lois discussed a CNN series on sustainable buildings using timer laminates, sustainable and economically attractive alternative to conventional construction techniques New Business Discuss next steps to develop information package and interaction process for next community engagement Recognised that sufficient work to warrant delaying Community meeting until May: (6 – 22 April is school holidays, Anzac Day 25 April) Liaison / interaction key stakeholders – firm up process (who in SPRIG will be involved – Pete is keen to participate) and target CCC individuals: CCC - Claudia – Banks Peninsular Councillor, political aspect CCC - Janine Sowerby – Community Planning Manager, very busy, challenging to organise contact CCC – Grant McLeod, Banks Peninsular Planner (involved Stoddart Point Reserve Management Plan), reports to Janine, very keen to be involved but has not heard about our plans, best candidate to engage with? Lyttelton / Mt Herbert Community Board – Paula Smith, Chair, also Adrian Te Patu is Board member Invite CCC representatives to a SPRIG meeting, prior to next community engagement to inform and allow input to our process (consistent / compatible with CCC process) To maintain and enhance Diamond Harbour appeal to locals and visitors, take up grant funding opportunities (Phillipa Hay at CCC reviews applications, can provide guidance on criteria), ensure that we coordinate applications, plenty of funds available for local activities and regeneration: 5.

5. Community Engagement Process:

• Full day display at Community Hall (sufficient space) in May

• Schedule on a Saturday to take advantage of the high number of local people attending sports / other activities

• Tables / areas set up to present the different components

• Food and drink (Play Centre sausage sizzle to raise funds)

• Make two scheduled presentations to attract new visitors across the day, other time for people to mingle

• Advertising to attract visitors

• Historic Places Trust and / or DH Historical Association representative invited to put up a display of historical picture of Diamond Harbour / Stoddart Point / Godley House

• Prepare a SPRIG background summary, rationale, objectives, vision statement

• Define the feedback mechanisms for each component of the community engagement:

• Deliver a summary document (3-4 pages) to each household from Charteris Bay to Purau, setting out SPRIG objectives, vision, options, linkages existing / planned facilities, landscape assessment, precedent / case studies, timeline. Delivered by Rural Delivery (for small fee to incentivise), returns via boxes at garage store, café, post shop or on community event day

• At community event day provide full range of information including large scale displays on walls, separate tables for each specific component with a clear method for gathering community feedback. On reflection it may be overly fiddly to use the previously considered map of Stoddart Point area with cut outs of regeneration options to glue onto the map.

• At community day provide an A4 sheet (landscape) with list of the ideas and things we have presented, people can tick like, ambivalent, or dislike and provide short comments or any other ideas

• Need to confirm / assign SPRIG roles and responsibilities, timings and milestones, email over next week to sort out

• Tracey and Fiona applying to Strengthening Communities Fund (end of March) for funding to support the development of the SPRIG initiatives above

Next  Meeting:    

To confirm, possibly Thursday 12 April after Easter
