The above private room hire charges includes printed menu cards, table plan, place cards and a dedicated

member of staff to look after your event.

MENU SELECTION We would advise that you choose one starter, one main course and one pudding for your entire party as this ensures

that the service and food is of the highest quality. We will also cater for any vegetarians and special diets.

Alternatively, you may select two options, plus a vegetarian option for each course for your guests to choose from.

We would then ask you to collect everyone’s choice and pass it on to us at least 14 days prior to your event.

All main course dishes are served with their own vegetables and potatoes. We also serve additional seasonal

vegetables to the table.

Private Dining & Events Terms and Conditions of Business

All Private Dining & Events reservations at Wentbridge House are subject to the following Terms & Conditions.

Wentbridge House reserves the right to waive all or part or to change or add to these conditions at our discretion.

1. BOOKINGS Our facilities can be reserved provisionally for 7 days after which time the reservation will be released automatically if a deposit has not been received. Bookings will only be considered confirmed upon receipt of a completed booking form, signed terms and conditions and deposit. Any changes to booking details must be made in writing and will be of no effect unless acknowledged in writing by Wentbridge House.

2. DEPOSITS

Wentbridge House has the right to request a non-refundable / non-transferable deposit to secure the date of the event and reserves the right to cancel the event if the appropriate deposit is not received within the specified time limit.

3. NUMBERS ATTENDING

Details of final numbers attending should be given to Wentbridge House as soon as possible but at least three working days prior to the event. The charge to the client will be based on either the actual number attending or the number of guests specified on the booking form, whichever is the greater. Wentbridge House will make every reasonable endeavour to accommodate any increase in numbers and will charge accordingly for providing this service but cannot be held responsible for failure to provide such accommodation or service. Where the booking includes accommodation, full details of the number of people staying, together with the type of accommodation and length of stay must be confirmed at least 14 days before the date of arrival.

4. CANCELLATION BY THE CLIENT

All cancellations must be confirmed in writing and formally acknowledged. If a confirmed booking is cancelled within 28 days of the event, the business will be evaluated and a cancellation charge, outlined below, will be payable. Cancellation 21-28 days prior to the event 50% of the total anticipated revenue, less any deposits Cancellation 14-21 days prior to the event 75% of the total anticipated revenue, less any deposits Cancellation within 14 days of the event 90% of the total anticipated revenue, less any deposits In every case, if Wentbridge House is able to re-let the room(s), the resulting revenue will be deducted from the cancellation charge.

5. CANCELLATION BY WENTBRIDGE HOUSE

In the unlikely event that Wentbridge House has to cancel your booking, you will receive any advance payments made, although Wentbridge House will not have any other liability. Wentbridge House may cancel the booking under the following circumstances; If the hotel or any part of it is closed due to events beyond our control If the client becomes insolvent or enters into liquidation or receivership If the client is in breach of any of the terms of this agreement If the client is more than 30 days in arrears with Wentbridge House If the booking might prejudice the reputation or cause damage to Wentbridge House

6. SETTLEMENT OF ACCOUNT AND CREDIT FACILITIES

Final accounts must be settled before leaving Wentbridge House on the day of the event unless credit facilities have been agreed in advance. Should any client not pay the final amount on the day of the event, the payment will then be charged to the credit card details submitted to pay the deposit. A credit application form is available on request if you are not recognised as a credit customer. In the case of approved credit account guests, our account will be despatched within 7 days of the event and payment is required within 30 days of the event date. We reserve the right to charge interest at 2% over Wentbridge House banker’s base rates on amounts materially overdue for settlement. Credit accounts must be approved by Wentbridge House in writing at least 2 weeks prior to the date of the event taking place.

7. PRICES

All prices are current at the time of going to print and are inclusive of 20% VAT. Wentbridge House reserves the right to amend prices without notice. Prices may be adjusted to allow for changes in either VAT or other Government taxes and currency fluctuations.

8. SIGNAGE / ADVERTISING

The fixing of signs, displays, posters etc, may only be carried out with the consent of Wentbridge House and no advertising, public or otherwise, of any function at Wentbridge House may be exhibited without Wentbridge House’s written prior permission.





9. CLIENTS USE OF THE HOTEL

Whilst you and / or your guests are occupying the property of Wentbridge House, it would be appreciated if every effort is made to safeguard the existing fittings, fixtures and decorations. Any damage caused shall be restored by Wentbridge House and the cost incurred will be recharged to the client / hirer.

10. LOSS OR DAMAGE TO PROPERTY

Wentbridge House shall not be liable for any loss or damage to the property of guests or any such person as may so occupy the premises except within the constraints of the Hotel Proprietors Act 1956.

11. HEALTH & SAFETY

Guests using the facilities at Wentbridge House must comply with all the regulations concerning licensing, fire and health and safety. The client’s organiser for each event must make the attendees knowledgeable of the Hotel fire procedures.

12. LIABILITY

Save as contained in statute Wentbridge House will not be liable or responsible for any loss, damage, inconvenience or annoyance.

13. THIRD PARTIES

Wentbridge House reserves the right to request the names of any photographer, toastmaster, band, musician, or any other persons in connection with any function. Any persons objected by Wentbridge House shall not be employed by the client or any of its guests. On the occasions when the client arranges any third party supplier or contractor directly, it is the responsibility of the client to ensure that Wentbridge House is fully informed of all arrangements. Furthermore, the client must ensure that the third party provides adequate insurance and observes all health and safety requirements.

14. GENERAL

The hotel management reserves the right at all times and under all circumstances to refuse admittance or service to any person or persons considered as undesirable.

15. ENTIRE AGREEMENT

This agreement constitutes the agreement between the client and Wentbridge House Hotel and no representation preceding the agreement nor any variation of the agreement shall be binding to Wentbridge House unless such representation or variation is in writing, signed by an authorised person at Wentbridge House Hotel.
