OBJECTIVES OF THE STUDY
Primary Objective:
The primary objective of the study is to acquire practical knowledge about
the functioning of the organization with special reference to each department.
Secondary Objectives:
To know how each departments function.
To briefly outline the company and the industry which the company
belongs.
To understand practical side of the management.
To have a practical knowledge of the application of the management
theories.
To study the new techniques adopted by the management for their
improvements in quality.
To study about the working environment of an organization.
To identify the training and development needs and its importance in the
field.

SCOPE OF THE STUDY
The demand for products is very high internationally. In such a situation a
company like Cochin Exports with ten percent exports in coir products, has
created a brand. They have most modern and imported machineries and ISO
certified production techniques.
Related study regarding:
Profile of the company as well as industry.
Overall functioning of the company.
Present position and performance of the company.
LIMITATIONS OF STUDY
The time was inadequate to conduct a deep study. Special attention is
needed to study all the departments.
The customer segment of the company is very widespread and so the
study may cover only a part of the total spectrum.
Organizational authorities may be reluctant to disclose confidential mat-
ters.
Lack of experience of the researcher as the study is conducted by a single
person and so the scope is limited.

DEPARTMENT CHART
Sample department is the first and important department that
comes before the production department. The scope of the sample department is to develop
the samples according to buyer’s requirement and developing samples according to world
fashion and trend.
In sample department first the buyer gives the order of any mat of his choice to the
sample department. When the buyer sends the requests, some time he sends the design of his
choice and in some cases he asks the company to send the design for him. The sample
department has its own designers who draw the design for the buyers. When the buyer accepts

the design send by the company, then that particular design is given a specific number. If there
any change recommended by the buyer, it will done and given a new serial number. Then the
buyer sends the acceptance of the design.
After all the acceptance procedure is over, then the sample department
creates a stock order. This checks whether the company’s store has that much of stock to fulfill
the order. Then the plates and mats are brought and printing is done. Normal cases there make
three sample pieces and out of which one is send to the buyer. If there any alternation is
needed, then it will send back for modification and buyer places the order. Finally that order
moves to the production department and production starts.
The sample pieces are printed in the sample department itself and not in the
printing section of the production department. According to the design plates are designed and
with the plates the mats are printed.

This department plays a vital role in carrying out the process very smoothly.
The products from primary societies are purchased through regional offices. The
prices are fixed by the board of directors. Coir yarn is the most abundant item
purchased. It is priced according to the type and Runnage are 8-10 types of coir
yarn. Before purchase is done the quality of the yarn will be checked as per ISO
9001:2000 standards. Production planning along with selection of raw materials
to be purchased shall be done by purchases department

department plays a vital role in carrying out the process very smoothly. This
department includes two sections. One is purchase and the other is store.

VENDOR SELECTION
Company follows vendor system for purchasing the raw materials. Vendor
applications are issued from the company and maintain a register of selected vendors. Vendor
rating systems are followed by the company. The vendors who are giving quality material at
the lowest price, prompt delivery would be selected. Credit period followed by the company is
45 days.
DETERMINATION OF PRICE
The next function of this department is to secure the price for the items to
be purchased. The vendor providing the lowest price is selected.
PREPARATION OF PURCHASE ORDER
In this phase the purchase department prepares the purchase orders and
sends it to the suppliers.
ACCEPTANCE OF PURCHASE ORDER
After sending the order the vendor provides the acceptance receipt and is
accepted by the company and properly maintained.
FOLLOW UP
Follow up is also done to ensure the timely delivery of material.
MAKING PAYMENTS
Final function is to check the invoice and approving it for making payment
to the supplier. It is only provided to those who provide the invoice properly and also maintains
the register of various invoices.

TYPES OF PURCHASES There are mainly two purchases made by the company:

MAT PURCHASE
The major function under this process is the purchase of various
materials like BCI and other mats. For this type of purchase, sometime company buys some of
the materials from the local vendors.
For the purchase of the materials like coir and yarn needed for the
production of the mats are purchased from the local vendors. They invite quotations and for the
purchase of materials like rubber powder and glue they outsource the material from outside
India. Whenever the material reaches the company it will pass to the quality section to measure
the quality for the material made by the purchase department.
MISCELLANEOUS PURCHASE
It will include the purchasing of various materials like machinery parts,
computers and other miscellaneous materials which is needed for the production as well as
administration of the company.
For purchasing both there is a purchase committee. They will consider all the
matters regarding purchase of materials whenever the purchase requisition received. The
purchase committee consists of:-

By the purchase department the company purchases all the materials
which have affordable price. Whenever the material reaches the company it checks the quality
of raw materials.
For the maintenance of the material company uses ABC Analysis methods for better
inventory control. Also the raw materials are purchased in the form of bulk.

STORES DEPARTMENT The stores department is functioning as a part of purchase department.
Stores department find out any shortage and surplus in stock and inform purchase department
for giving and taking orders. The major function of this department is to store both raw
material and finished products. Also it will issue the raw materials to the production
department.

First of all the section receives raw materials through purchase department and stores

Another function is to check the quality of the raw materials received. Only which are
passed after checking the quality are transferred to the production department for
producing various mats. Some of the finished products are also stored in this section.

This is the most important function of this
department. This is because qualified employees should be placed for the job. It
is the process of selecting for and obtaining applications from right persons. The
DC MILL’s recruitment goal is to attract and employ a high qualified and diverse

The company is providing training to existing as well as

by the company. Company maintains a training calendar through which company

induction program along with the 3 months training.
WELFARE ACTIVITIES
Organizing welfare facilities for employees is an essential
function of the H R Department. Welfare activities include the following:-
SNEHABHAVAN –Company provide house under Sneha Bhavan
program to those workers who does not have house.
TOUR PROGAMME – Company has conducting annual tour programs
every year to various places for entertaining the workers and staffs.
WEDDING PROGRAMME – One of the appreciable welfare activity
conducted by the company is the wedding programs for the poor sections,
mostly orphans and also conduct wedding programs for the workers.
EDUCATION FACILITIES – Along with the above mentioned

COMPENSATION MANAGEMENT SYSTEM
Cochin Export is maintaining effective compensation management
system so as to give prompt and correct payment to its employees. They are also

To maintain a good industrial relation, Cochin Exports create
works committee which includes participants from almost all departments &
sections. Problems of all employees are discussed & solved in the works
committee. Works committee meets once in three months.
Identity card
The HRD department issues covered smart card to employees. It contain stamp
size photograph of the employees, designation, employee code, department. The
employee should carry the identity card during work hours.

is one of the four goals identified to support and operationalize the DCM’s
compensation philosophy. Often motivation can be achieved and enhanced

The level of an employee contribution to the work unit,

the employee. Recognition awards may be in the form of monetary and non-
monetary items. Monetary items are those paid by any negotiable instrument such
as cash, cheque etc. this type of awards also includes any item that can be easily

SAFETY POLICY:
FIRE SAFETY POLICY::
1. Fire extinguishers are not to be removed from their proper locations
or discharged unless there is a true fire emergency.
2. Tampering with safety seals on any egress door is prohibited.
3. Exterior elevated areas (fire escapes, roofs, parapets, etc.) of
dormitories are designed to be used as a second means of egress in
an emergency. No items may be placed in these areas at any time
under any circumstances.
4. Safety signs and markings are not to be altered, defaced, destroyed,
covered, or removed.
5. Nothing may be affixed to any window or egress door(room entry
door, hall way door).

6. Tapestries o other wall coverings must be hung vertically and must
at least 18 inches from any heat source. Nothing may be hung from
the ceiling.
7. Excessively disorderly conditions and the storage of excessive
amounts of paper, trash, and recyclables are prohibited.
8. No vehicles may be stored or parked in the areas.
9. Fire & Safety policy is a major criterion in performance evaluation.
10.In order to ensure that workers are complying with the company’s
fire code, the Security Department conducts periodic inspections.

But the company has a website, from which one can get the full details regarding
the company. For meeting and attracting the customers they attend the
exhibitions organized by the foreign
countries. Mainly company attends the exhibitions conducted at Hanover
Demortise in Germany and from there the company meets its prospective
customers and gets orders from them.

In the post liberalized global scenario, Indian coir sector is facing stiff
competition from the substitute products like synthetics and other natural fiber
products. The voluminous nature of the product, low unit value compulsory
transshipments coupled with high freight rate are the areas of concern.
Because of the competition and changing trend some of the coir
products were forced to suffer a downward trend during the year. In these
circumstances the export promotional activities assume more importance.
With this view COCHIN EXPORTS organized participation of Indian coir
sector in exhibitions abroad during the last year. Some of the foreign

Samples are developed according to the buyer’s
requirement and forwarded along with prices. Sample department takes care of
the same. On acceptance, the buyer forwards an order sheet containing details as
to the item required quality, price and terms of pay and with ship date as
required.

On the receipt of the order, the order sheet is reviewed for quantity and ship date.
Once the order is reviewed, the company expresses its acceptance by forwarding
Performa Invoice, where in all details regarding the items to be produced; price,
ship date etc. are given. This enables the buyer to open letter of credit.

the buyers. This makes them easy to increase their productivity and sales
as the company produces on demand.

Company is committed to a process of continuous improvement.
It is market leader of coir exports in India. The company has the most
modern machine for extruding yarns and multi-operational coating
machine for the square pyramid and bubble backing.

SUGGESTIONS
Performance evaluation should be adopted for rating the employees, to
create e difference between efficient and in efficient workers.
Production of raw materials here itself will raise the profit.
It will be better for the company to procure some of the raw materials
within the country which will reduce the cost of production.
It is better for the company to enter into local market, but the license
should be obtained.
Developing a furnished recycling plant as currently it’s inefficient.
Wastage is part of production. That cannot be eliminated but can be
reduced or can be recycled.
Improved training facilities will raise the level of the human resource.

understand the various functions of an organization. It helped me to understand
the functioning of different departments and how they are coordinated and
