WelcomeDear Exhibitor at the DSE Fair Aalborg! We at the Students’ Business Relations are happy that you have chosen to become a part of the DSE Fair Aalborg 2019, and we are looking forward to welcoming you! The preparations for the Fair have already begun, which is why we re sending you this Exhibitor Book-let. The Exhibitor Booklet contains information about the Fair and practical matters. The booklet does also contain an overview of important forms and deadlines that you need to comply with. The over-view can be found on page 6. It’s very important that the deadlines are held and that relevant informa-tion is passed on to your colleagues. By doing that we’re avoiding any inconvenience during the Fair. Thereby we can give you the best experience in regards of the DSE Fair Aalborg 2019. You are more than welcome to contact us, if you have any doubt about something. DSE is driving by voluntary students, meaning we cannot always be ready by the phone – however, you can always leave a message on our answering machine or send an email, and we’ll answer you as soon as possible. We’re prepared to help you if you should have any questions. As volunteers at DSE, we are working very hard to make the DSE Fair Aalborg an ideal place for exhib-itors to meet the students so that there is a sustained possibility to create and maintain the contact between the students and you, the exhibitor. We experience that the students appreciate the given opportunity to meet and hear more about your company. The fair is used by engineering students who want to gain an overview of job and career possibilities, and the fair is the ideal place to tell the students about your company and the opportunities you offer. Since the students have a technical background, we strongly encourage you to bring an engineer or equivalent to your stand who can talk about the technical aspects of their daily life at your company. It’s also recommended to bring a physical product or model so that the students can see what you are working with. We experience that it’s often the question “What can I use my education for at your company?”, which is what drives the students – and the Fair gives you a really good opportunity to tell about the possibil-ities at your company and thereby attracting young talents. The Fair makes it possible for the students to put their studies in perspective and thereby simultaneously come in contact with you about student jobs, internships, project collaborations, and/or employment. So, grab the chance, do your preparation with us and stand out at the Fair. Then the Fair will be a suc-cess. We are looking forward to seeing you at DSE Fair Aalborg 2019!

About DSEDSE is an independent, non-political, and economic independent organization. DSE is driven by around 70 voluntary students spread between our two departments at Danmarks Tekniske Universitet and Aal-borg Universitet. The purpose of the organization is to establish and maintain contact to the businesses for the benefit of the students. This can be achieved through our producs such as Focus Night, Pejling and The DSE Fair.

FOCUS NIGHTFocus Night consists of different study-specific company presentations. After the presentations, the stu-dents can network with the representatives from the companies during the buffet and thereby create a relation to the companies.

PEJLINGPejling is a company handbook for engineering students and recent graduates that helps the students with job applications. Pejling is published in a stock of 15.000 and is handed out and promoted all over the country for one whole year.

DSE FAIRThe DSE Fair is a job- and career fair for engineering students, which takes place across two days. The Fair allows the companies a unique opportunity to promote themselves effectively towards the next generation of engineers. This can be done at the stand, through company presentations as well job post-ings in the DSE Fair Jobbank. The students use the fair to network, get to know the individual company, inform themselves about career opportunities, and much more.

The Fair CommitteeThe Fair Commitee consists of coordinators from different departments and it’s purpose is to establish the Fair. This year’s committee consists of the following coordinators:

Personal company hostAll companies will be assigned a personal company host. The company host will be a DSE member, who will help you by answering all of the questions that you might have during the fair.

Your personal company host will be assigned by the end of August, where the host will contact you and thereafter be available during the entire period of the Fair. You as the company can always contact your assigned company host if any questions should arise regarding your participation at the Fair.

June 8th, 2019: Catalog-formulaThe Catalog-formula must be filled out in order to prepare the Fair catalog, which is handed out to the students. Submission for company presentations is stated in The Catalog-formula.

June 29th ,2019: Proofreading of company pagesIt’s possibe to have your company page proofread before being printed.

September 17th, 2019: The Practical FomulaThe Practical Formula deals with a range of practical information regarding the Fair, e.g. reporting of the stand’s expected electricity consumption, how you can order miscellaneous equipment for the stand, estimate the number of adverts to the Job Bank etc

September 21st, 2019: Adverts for the DSE JobbankThere will be a opportunity to showcase job adverts at the DSE Job Bank stand. In addition, there is also an opportunity to have material showed on the DSE fair info screen. All material has to be sent to your personal company host.


Pratical informationIn addition to the purchase of a Fair stand, there are several offers that are included. The offers depend on the type of cooperation: SME (small medium-sized entreprise) or ordinary company.

Offers reserved for ordinary companies

Info screensThere will be an opportunity to get slides displayed on info screens spread around the Fair. The require-ments are as follows:• Resolution: 1920 x 1080 pixels• File format: .jpg• Number of slides: Max 3• Slides should be submitted to your personal company host before the 21st of September.

Job BankDSE will arrange the setup of a Job Bank, where companies have the opportunity to present job ad-verts, internships, projects, etc. An advert cannot fill more than an A4-page.

The submission of the adverts must happen through your personal company host as a PDF file no later than the 21st of September, 2019. Job adverts received after the given date are not ensured a spot at the Job Bank.

CateringAs a part of the price for participating, catering during the days of the Fair is included:• Breakfast buffet: 09:00 to 10:00 in the canteen of Gigantium.• Lunch buffet: 12:00 to 14:00 in the cateen of Gigantium.• Catering at the stands: Coffee, tea, water, soft drinks, fruit as well as some snacks will be placed at

the stands. If a refill is needed please contact a DSE member.

Fair catalogAll participating companies will receive a double page in the Fair catalog, which will be handed out to the students. The Fair catalog can also be found around Aalborg Universitet campus, where DSE has stands assigned to catalogs. In this way the students have easy access to printed Fair catalogs. 3600 copies will be printed. Information regarding the setup of the pages will be presented in the Catalog-formula.


Fair DinnerAs usual DSE will conduct a Fair dinner on the 9th of October for the company representatives and the DSE members. Place and time will follow in a coming invitation.

Two Fair dinner tickets are included upon purchase of a Fair stand. If desired, there will be a possibility to buy more tickets. The price of extra tickets is DKK 800 exclusive VAT. Registration of extra tickets happens through the Practical formula, no later than the 17th of September.

Company Presentation During the Fair there will be an opportunity to conduct a company presentation. The presentation gives you the opportunity to represent your company towards a crowd of students, through a presentation of maximum 30 minutes (including questioning time). The signup is done via the Catalogue-formula, where it’s first come first served. A projector will be available at the presentation area, in addition to wireless internet, power and a microphone. The speaker brings their own computer. During the two days of the fair the program will be apparent on the info screens and in brochures. In addition to this the program will be included in the fair catalogue. It is advised to give the presentation a captivating title as well as a short description of the presentation.

The company presentations are held at big hall behind the black curtains (see page 12 for overview map). A projector will be available at the presentation area, in addition to wireless internet, power and a microphone. The speaker brings their own computer.

There has been positive experience when students are given cases or in other way actively involved via quiz and similar, which is why we recommending you making it a part of your company presentation.

Panel DebateThis year DSE will also arrange a panel debate. The purpose is to have an open debate between the stu-dents and the company representative. The duration of the panel debate is 1.5 hour, starting at 13:15. There is room for five company representatives with maximum one person per company.

The overall theme for the debate involves topic like, what do you need to focus on when writing an appli-cation or CV, how to tackle a job interview and general job searching. An HR-employee would therefore be suitable for this panel debate. Please contact the Establishment Coordinator for more information.

Offers reserved for SMEsAs a SME you’ll get many of the same offers as the ordinary companies, which are:• Fair catalog: Double page in the Fair catalog, used for presentation and advertising your company.• Info screen: Slides on the info screens, used for advertising.• Job Bank: The oppertunity to summit job adverts. • Catering: Breakfast and lunch buffet included.

The difference between an ordinary company and an SME is the following:• The Fair stand: The size on an SME Fair stand is 6 m2 (3 x 2 m). Includes two chairs and a coffee table.• Comapany presentation: There is no opportunity for an SME to get an company presentation spot.


Stand conditionsGuidelines for setup and takedown of the stand• Setup of the stands takes place on Tuesday, October 8th, 2019 in the time frame 08:00 – 20:00.

• Takedown of the stands takes place Thursday, October 10th, 2019 in the time frame 16:00 – 20:00. The takedown MUST happen within the time frame and must not begin before the given time frame.

• DSE is in charge of the coordination regarding loading and unloading of materials for the stands.

• On Tuesday, October the 8th, 2019 in the time frame 8:00 – 20:00, there will be a limited possibility to use the pallet lifters on the driving boards, which will be laid out on most of the Fair area. After this time frame ONLY carts with rubber wheels are allowed, due to the fact that other form of wheels leave marks on the carpet.

• On the Fair area, none of the equipment may under no circumstances be fixed to the floor, on the walls or on the ceiling, i.e. by drilling, bolting, and so on. Cutting the carpet is also not allowed. DSE will hold the exhibitor accountable for damages that have occurred during the set-up or the take-down of the stand.

• There will be a limited possibility to borrow pushcarts for transportation of equipment.

• DSE does NOT provide tools when setting up or taking down the stand.

• The maximum stand height is 3,5 meters, but it is possible to seek an exemption on certain elements of the stand, which may then exceed this height. The permission is granted by contacting DSE before the stand’s set-up. If this does not happen, DSE reserves the right to ask the exhibitor to remove the height difference. This must happen no later than the 17th of September 2019, since it must be part of the fire evacuation plan.

• The exhibitor is asked to contact DSE in case of extra heavy elements at the stand.

• The setup of stand materials outside the stand area is not allowed due to fire evacuation routes.

Rent of stand equipmentIt is possible to rent stand equipment through several suppliers. We recommend Messebyg ApS, which can be contacted at +45 2835 8280 or at [email protected]. In the Practical formula, you can find a collection of offers from Messebyg ApS.

SurveillanceDSE does not undertake insurance liabilities but do provide security guards and surveillance inside Gi-gantium throughout the nights between Tuesday and Thursday. There are also alarms inside the building.


Unloading of materials and parking• All parking is referred to the marked parking areas, see page 11.

• Unloading of materials occurs in the marked area, see the map on page 12 where the entrance to the storage can be found. The DSE members will guide and coordinate the unloading.

• When arriving, DSE will appoint a storage spot, where it will be possible to store a limited quantity of materials (e.g. stand packaging). The materials will not be under supervision, and storage will be at the exhibitor’s own responsibility. Missing items and damages to the stored goods must be covered by the exhibitor.

• DSE does not have the option to unload with a forklift.

• Upon delivery of stand material by freight carries, DSE will appoint a storage spot until the stand can be setup.

Electricity and internet• The stand’s expected electrical consumption must be registered in the practical formula to ensure

that the electricity can be covered. DSE offers a 230 V with ground connection which can deliver approx. 1000 W.

• Through the practical formula, please note if you are in need of cable internet.

• It is prohibited to make changes to DSE’s emplaced electrical installations.

Stand guidelines during the fair• It is worth noting that the Fair stand must be staffed by at least one person throughout the Fair’s

opening hours.

• For the sake of the other Fair participants, DSE reserves the right to require special noisy equip-ment muffled. Acoustic and electrical/mechanical noise are regarded as noise.

• Serving beer, wine or liquor at the stands is not allowed.

• Distribution of materials may only take place at your own stand.

• DSE provides a limited amount of cleaning during the Fair days and after the closing hours at Wednesday.


Additional infomationOn www.produkter.studerende.dk/information-til-dse-messe-aalborg-2019/, here will be nice-to-know information, including:• A list of all of the exhibitors at the Fair, which will be continuosly updated.• The stand floor plan, which will be available no later than in the middle of September.• Overview of DSE’s marketing activities towards the students in regards to the Fair.

Catalog-formulaAll exhibitors are granted two pages in the DSE Fair Catalog 2019. Therefore, each company has to send in a picture of the company logo, a text as well as miscellaneous information about the company. All of this must happen through the Catalog-formula, where guidelines and other information will be stated.

The catalog formula will be sent out via mail, and must be answered before the 8th of June, 2019.

Practical formulaIn connection to the DSE Fair Aalborg 2019, we require some practical information from you. This includes the stand’s expected power consumption and the height of the stand.

The practical formula will be sent out via mail and must be answered before 27th of September, 2019.

SponsorsWe have in the past years had great success with holding a competition that the students can partici-pate in during the Fair. The companies, who wish to sponsor a prize for the competition, will have their logo shown at a visible spot at the Fair. Previously, there have e.g. been sponsored powerbanks, power-point-presenters, USB-speakers, LEGO products, sportbags, and the like.

The prizes and your logo will be displayed at DSE’s sponsor stand at the Fair and will in addition be part of the promotion towards the students prior to the Fair. The number and size of the prizes are completely up to you, but DSE recommends that the total price range lies between DKK 500,- and DKK 1.500,-. If you want to sponsor a main prize, the price range should be between DKK 3.000,- and DKK 5.000,-.

You can bring your own prizes or let DSE buy them on your behalf where your logo will be added. DSE will prior to the Fair contact your company to hear if you are interested in sponsoring prizes to the competition.
