SituationKonyang University, which faces its 20th anniversary in 2012, is a young university but its competency is just as strong as that of those prestigious universities with more than 100 years of traditions. In particular, Konyang University has significant presence in the academic field for its education innovation. Konyang University aggressively made its name known as a leader of education innovation in 2008 when it was chosen to participate in University Education Capacity Enhancement Project sponsored by the Ministry of Education, Science and Technology. As Konyang University was recognized for its efforts, it was selected as Excellent University in the University Education Capacity Enhancement Project. Then in 2010, Konyang University participated in the ACE(Advancement of Collage Education) project and was recognized domestically and internationally as an icon of education innovation.

The ACE project is a kind of challenge for Konyang University. Nationwide universities proposed differentiated strategies in order to participate in this project and the competition was fierce where only 11 universities were selected. The ACE project was promoted under an ambitious goal of the Ministry of Education, Science and Technology to move from research oriented policy to education oriented policy. Through the ACE project, the Ministry of Education Science and Technology had a plan of high standard to discover and expand advance model of ‘university of quality education’, so it paid close attention when selecting universities to sponsor. Amidst fierce competition, Konyang University submitted an innovative proposal consisting of an

extensive view including both curriculum and non-curriculum areas and earned high evaluation scores.

Konyang University’s proposal received high evaluation scores for its originality in looking at the activities outside classroom as an important education process and proposing a method to systematically organize and support these in a system called ‘e-Portfolio’. From a technical perspective, e-Portfolio system is similar with career management system implemented by several universities to manage information such as, linguistics ability, acquisition of certificates (licenses) and volunteer work for supporting career or employment counseling. However, the system is completely different from a general career management system when considering how it was viewed and designed with which perspective. Young-Chan, Son, Assistant Manager, Team for Information & Communication at Konyang University said, “We wanted to put the student’s actual campus life in the system. During the course of university life, students would submit assignments, take exams and participate in clubs or do volunteer work but there are no traces anywhere of such related materials. We planned e-Portfolio to create a space to hold various information that have passed through the hands of students during the course of their university life.”

The method of technical approach is also significant different from that of the common career management system. Son added “Rather than putting all kinds of information on a well-knitted outline, we wanted to enable students to place pictures or write wherever they want just like on a

white piece of drawing paper. To digitalize all users’ offline activities, we decided to develop an easy to use system – used by anyone who can access Internet and use document editor.”

SolutionKonyang University began its long journey of implementing e-Portfolio in 2010. It understood that e-Portfolio implementation is a challenge that does not end with a simple development but requires continuous advancement even after the end of ACE project. Son said, “Even after the official support of national project ends, we needed to add new level of usability every year during the period of ACE project in order to make e-Portfolio into a vital system that Konyang University cannot do without.”

Konyang University selected LimeOrange.com as the main provider to develop e-Portfolio and aggressively began implementation. In the first year of promoting ACE project, it constructed the foundation of e-Portfolio and implemented services targeting students. First of all, it strengthened the foundation of account management with Active Directory. Then it completed the basic foundation of e-Portfolio through SharePoint Server 2010 and FAST Search to begin implementation.

The development focus of e-Portfolio was set on two perspectives to enable gathering data on Word and free editing by users rather than limited on pre-defined functions or data input/query screen. The first was to bring together data from various systems including academic administration system and the second was to enable Document Automation to

generate these data into documents on pre-defined Word format. In particular, it was a great help in gathering e-Portfolio materials (pictures and videos) immediately through picture transmission functions using smartphones and Live@edu mail system. Byung-Geun, Kim, CEO, said, “Open XML adopted by Microsoft Office helps students to model the way to create portfolio “as is” and applying IT on the model. With Open XML, we were able to seamlessly implement document automation in connection with documents and various systems.”

In 2011, the second year of the project, Konyang University expanded e-Portfolio as part of its curriculum. Its goal was to assign a role to e-Portfolio as a part of its LMS(Learning Management System). Son said, “Like our students, the teaching staffs had hidden desires about managing their own portfolios. So, in 2011, we promoted tasks to enable loading of lecture plans or materials onto e-Portfolio and seamlessly confirming all statistical information related to lectures on Word.”

With the enhancement of curriculum portfolio, the teaching staffs immediately expressed positive response to e-Portfolio Kim said, “In the past, even basic statistics ㆍ analysis information such as, attendance, grade, lecture assessment had to be requested to the IT support team but now with teaching portfolio added to the e-Portfolio, the environment change to enable generation of related document in about 3seconds.”

due to continuous advancement since its initial development in 2010. A noteworthy point together with this advancement is the utilization of SNS(Social Network Service). Konyang University enabled e-Portfolio users to register their interests as keywords when loading their personal profile in MySite and then induced natural communication through these keywords.

Son said, “For example, if a search was made with keyword ‘embedded” then a list of people who are on campus and can either provide advice or research cooperation will be provided. Users can select from the search results and go to the MySite of the person who registered the relevant keyword to leave comments and receive responses through SNS channels, enabling natural exchange.”

Benefits

Rising as Mecca of ‘Campus Cloud’Konyang University’s e-portfolio proposed a model of how to realize the possibility of cloud in campuses. Konyang University students do not store official linguistic exam results, certificates, campus club or volunteer work on their PCs. They would store the reports they submitted during the course of their university life, various awards and grades in their own portfolio document, which is automatically generated in e-Portfolio.

This document can be viewed and revise as users please from PCs or tablets or smartphones with Internet access. Users can revise information on their way to school with smartphones, and their revision will be reflected when they open documents with tablets in the classroom.

The meaning of e-Portfolio is significant in that it proposed the agenda that campus cloud should take. Kim said, “The importance of documents is great in the education field of Korea. The cloud model that allows all activities including data uploading and sharing as well as confirming all results on the Web is good but it is more realistic to enable access to various information in document format.” He also added, “Konyang University’s e-Portfolio is very suggestive in that it offers document automation enabling other universities to look at campus cloud from a new perspective.”

Cloud perfect for employment guide and supportThe individual portfolio document of each student is a great help in employment, too. Konyang University enabled its students to generate documents of their portfolios with QR code, storing a huge amount of information in one piece of document. By converting documents with information from each student’s individual portfolio, university employment center or professor can acquire in-depth information about the student in one place by reading the QR code on one piece of document through smartphones when making recommending the student to companies.

New link of Industry-UniversityKonyang University plans to utilize e-portfolio developed as a business challenge for Advancement of College Education in its LINC(Leaders in Industry-University Cooperation) business. The shareholders in education area pay close attention to Konyang University’s movement since it has performed the national project with the coherent approach.

Son said, “Sincerity is an important factor in promoting national business. Usually when the business support ends, the results such as the relevant developed IT system would get buried. e-Portfolio is positioned as a vital system that we cannot do without even after official support had ended and we plan to use it for integrated management and sharing of various results from the cooperation between companies and students in the LINC business.”

Expansion of Campus Cloud to Social NetworksKonyang University’s e-Portfolio environment is expected to increase its usefulness as it meets with Live@edu, the public cloud service of Microsoft. Konyang University deployed Live@edu in 2012 and was able to provide enrolled students as well as graduates with free lifelong mail address that is based on its campus address. Son said, “One of the oldest concerns of Konyang University is loss of contact with students after they graduate. Now by using the lifetime family system

network(SNS:Kyspace) and Live@edu’s email, we expect that enrolled students, graduates and the school can always exchange news as well as receive and provide help.”
