USING MARCEDIT FOR BATCH EDITING OF BIBLIOGRAPHIC RECORDS

MarcEdit useful tools for batch editing:

Count fields Find/Replace Add/delete field Copy field Edit indicator data Edit subfield data

Before using MarcEdit, you should already have the file that was saved in the format: xxxx.mrc. For example:

Open MarcEdit:1. Click on the MarcEdit icon and select MarcEditor.2. Go to File. Click Open.

Select the file, Click Open.Example: Select GaleRefEbook.mrc, Click Open.

The opened file is a readable Marc file:

Field Count: use this report to find:1. The total number of records in the file. 2. The total occurrences of a particular MARC field.Go to Reports. Click Field Count.Example: Field 029: 25 occurrences. Found in 25 records.C. Click OK when you finish.

Find/Replace: Example: take off (Film) from the title.1. Go to Edit, Click on Replace

Find/Replace: Example: take off (Film) from the title. 1. Enter (Film) in Find what: box 2. Replace with:3. Mark Match Case.4. Click Replace All. Click close.

Add/Delete field:1. Delete a field. Example: Delete 029 field.i. Go to Tools. Click Add/Delete Field.ii. Enter 029 in Field box. Click Delete Field. “25 fields were deleted.” Click OK. Click Close.

2. Add a field. Example: Add field 099.i. Go to Tools. Click Add/Delete Field.ii. Enter 099 in Field box. Enter \\$aONLINE in Field Data box. Check Insert before box. Click Add Field. Click OK. Click Close.

Copy field. Example: Copy field 590 local note to field 690 local subject. Delete field 590.A. Go to Tools. Click Copy Field. B. Enter 590 in the Source Field box. Contents in Find in Field box. C. Enter 690 in the Destination Field box. Check Delete Source Field. D. Click Copy. Click OK. Click Close.

Edit Indicator Data. Example: Edit field 245_10 to field 245_14.A. Go to Tools. Click Edit Indicator Data.B. Enter 245 in Field box. Enter 10 in Indicators box. Enter $aThe in Field Data box.C. Enter 14 in Replace Indicators box. Click Replace. Click Close.

Edit Subfield Data. Example: Edit field 856. Add Ezproxy.1. Click on Tools, Edit Subfield Data. 2. Enter 856 in Field box. Enter u in Subfield box. Enter http://find.galegroup.com in Field Data box.3. Enter http://find.galegroup.com.ezproxy.cpcc.edu in Replace with box. 4. Click Replace Text. Click OK. Click Close.

Serial: Making your journal online full text accessible

Add online journal web link with your library’s Ezproxy to the journal’s holding record in the catalog, and make them online full text accessible. *In our library, we use Journal Finder. For example, search: “Journal of Nursing Education” in Journal Finder.

Making your journal online full text accessible --In EBSCO, you’ll find information of the Journal title, ISSN, full text access, and web link to the Publications. --Copy “Link to the Publications” URL and add it into the journal’s holding record in your library catalog. *EBSCO has updated all of our subscribed journal titles with our library’s Ezproxy.
