辦公室內除了傢俬及文具外,還有很多所需的物品,例如文件及電腦設備等。

不妥善的擺放或貯存物品會增加辦公室發生意外的風險,包括:滑倒及絆倒,

過高或不穩固堆叠存放容易造成物料下墮,也會造成阻塞走火通道。因此,一

個潔淨及井然有序的辦公室,有助促進工作場所的安全,健康及生產力。今期

通訊為大家介紹一個有效的良好工作場所整理方法 – 5S。

In addition to furnitures and stationeries, there are many items in the office, such as documents and computers. Improper placement or storage may increase the risk of office accidents, including slipping and tripping, objects falling down as a result of too high or unstable pile-up, as well as obstructing fire escape routes. Hence, a tidy and well-organised office helps to facilitate safety, health and productivity of work. This bulletin introduces an effective way to organise your workplace - “5S”.

工作場所整潔是機構改善安全工作環境的基礎,更與防止職業意外息息相關。根據勞工處 2016年的職業傷亡個案統計,「滑倒、絆倒或在同一高度跌倒」及「與固定或不動的物件碰撞」等可能與不良工場整理相關的意外,佔工作意外總數超過三成半。如地面沒有積水或雜物、物件存放井井有條,能有助減少意外的發生。

「5S」是源於日本的良好工作場所整理準則,包括 1.整理、2.存放、3.清潔、4.標準及5.修養。

Good housekeeping is the foundation for a safe workplace and can minimize occupational injuries. According to the Occupational Injuries Statistics 2016 conducted by Labour Department, over 35% of work accidents are resulting from ‘slip, trip or fall on same level’ and ‘striking against fixed or stationary object’, which may be caused by poor housekeeping. Such injuries are preventable and can be greatly reduced if the floor is free of stagnant water while sundries and equipment are neat and tidy.

5S Good Housekeeping is originating from Japan and comprised of the five principles: 1.Organization, 2.Neatness, 3.Cleanliness, 4.Standardization, and 5.Discipline.

如何於辦公室做好 5S 良好工作場所整理 How to apply “5S good housekeeping” in the office?

「整理」 : 辦公室內的各種物品分類及處理,將「要」及「不要」的物品分類,並把不要的物品作處理,例如棄置及放進倉庫儲存。

Organization: Classify various items in the office into which you NEEDED and which you DON’T NEEDED. Discard or store in warehouse those unwanted items.

「存放」 : 按「要」的物品的重量、使用量、危害性及運作流程等特性,訂出儲存的位置和數量,以達致有條理地儲存和放置物品。例如把經常使用的物品應擺放較近使用者的位置。手提滅火筒應放在顯眼,不被阻塞及易於取用的位置。

Neatness: For those items you NEEDED, list out the storage location and quantity based on their weight, frequency of use and hazards as well as operational procedures to ensure that these items are stored and placed in an organised manner. For instance, items that are frequently used shall be placed in proximity to the users. Portable fire extinguishers should be put in a conspicuous, unobstructed and accessible place.

「清潔」: 清除污垢,使物品或設備經常處於潔淨和運作良好的狀態。定期清潔工作桌面和通風設備等以保持環境衛生及檢查設施和工具是否運作正常。

Cleanliness: Clean the items and facilities, so that they are often kept in a clean and well-functioning state. Keep the environment clean by cleaning the desktop and ventilation equipment regularly and check whether the facilities and tools can operate properly.

「標準」: 藉着為前3S「整理」、「存放」、「清潔」訂立準則和程序來鞏固其執行及監察成效。例如把文件櫃內的文件夾以顏色作分類,並在文件夾加上顏色斜線以設定其擺放的位置,以達致「易找、易取、易放回」;通風系統的出風口貼上送風的顏色紙條,顯示出風的情況。

Standardization: Strengthen the enforcement and monitor its outcome through setting up rules and procedures for the first 3S, “organization”, “neatness” and “cleanliness”. For instance, use different colours to classify folders in the file cabinet and add colour straps to set their designated location for easy access. A slip of colour paper shall be sticked on the air outlet of the ventilation system to show the outflow of air.

5「修養」: 管理層的身體力行和公司舉辦不同良好工作場所整理推廣活動,從而提高各員工積極參

與良好工作場所整理的自發性,並時刻將良好工作場所整理應用到不同層面的工作,讓員工能夠親身感受到成果。

Discipline: The management shall set an example as to organise various activities to promote good housekeeping for mobilising employees’ spontaneous participation in well-organised workplace and apply good housekeeping to different work levels, allowing employees to feel the outcome personally.

沒有關好的文件櫃可絆倒或撞傷員工

Employees may got tripped and hit by file cabinet that is not fully closed

關好的文件櫃就不會絆倒或撞傷員工

Employees will not get tripped and hit when file cabinet is fully closed

電線沒有妥善收好,橫過通道

Electrical cables are not properly placed and randomly spread in the aisle

電線應妥善收好於通道兩旁

Electrical cables shall be placed properly at the sides of aisle

文件夾亂放工作間地面

Document folders are scattered all over the floor at workplace

文件夾整齊及按顏色擺放於文件櫃內

Document folders shall be neatly placed in the file cabinet according to the colour tags

茶水間地面有積水會引致滑倒風險

Water on the floor of pantry may cause slipping risk

地面的積水應即時清理,否則應擺放“小心地滑”等警告標示

如何推行 5S 良好工作場所整理 ? How to implement 5S good housekeeping?

推行5S 必須從最高管理層的政策方針開始,然後透過成立5S執行委員會,制定5S 的行動計劃。最後主管應就推動表現作出評核。確定是否達到所定目標,並尋找改善方向。 Implementation of 5S starts from policy of the top management, then formulating 5S plans through the establishment of 5S steering committee. Finally, supervisors may assess the performance to see whether the goals set can be achieved and seek improvement.

2. 組織Organization 4. 定期量度表現及檢討Regular measuring performance and review

在推行5S的初期,員工或需管理層督促工作。但隨著不斷的實踐,經驗交流和借鑒等,員工可望逐漸養成良好的工作習慣,並會自覺地遵守安全工作程序,令意外減少。「員工自律守規,自發改善」正就是「5S」最後一個「S」「修養」的意思。

In the early stage of implementation of 5S, management supervision may be required. But with continuous practice, exchange of experience and benchmarking, employees will gradually foster good working habits and consciously comply with work safety procedures resulting in fewer accidents. “Self-discipline and self-motivated improvement of employees” are what “Discipline”, the last “S” of 5S, is to be achieved.

總結 Conclusion

• 做好5S其實一點都不困難,而5S的確為我們帶來很多的好處;

• 保持工作場所整潔及妥善存放物件不單有助減少意外發生,亦提升職安健表現;

• 在工作中對物品、設施及工具的儲存有所規範;減少因尋找而影響工作進度,有助增加工作效率;

•清潔時也檢查各項設施以確保它們運作正常,減少故障出現;

•促進員工對工作環境產生歸屬感,從而建立自發性的安全改善行動,孕育良好的安全文化。

簡單的整理、有條理的存放,就能達到提高生產力,建立良好的工作習慣和安全文化。

• Doing good in 5S is not difficult at all. However, the benefit of 5S is more than we expect;• Reduce accidents and enhance OSH performance safety by keeping the workplace clean and storing objects properly;• By setting rules for use of objects and facilities as well as storage of tools, to increase work efficiency and reduce time spent

on searching that affects work progress; • Examine all facilities when cleaning to ensure that they function well to avoid equipment failure;• Foster a sense of belonging to the workplace, so as to create an environment for spontaneous improvement on safety, nurturing

a safety culture.

Implementing a good housekeeping not only helps to build a clean and tidy working environment, but also helps to establish good work habits and safety culture and thereby improve enterprises’ productivity.
