1. Introduction

BusinessObjects is the standard University reporting tool for Administrative systems, implemented in 1999. Itis used to deliver reports based on:

Banner (Student Information System) CMIS (Timetabling & Room Scheduling System) CoreHR (HR/Payroll System) eFinancials (Finance System)

The reports are written by reporters with knowledge of the data structures of these systems and these reportsare refreshed by the 500 readers campus-wide. BusinessObjects applications in the past have been accessedthrough NAL and required an installation on the user’s PC. With the new version (XI) users will access theapplication through a standard web browser eliminating the need for a client install.

What is InfoView? This is the web desktop that acts as a window to your reports. It is here you access & organise your reports to suit your preferences. In InfoView, you can open, refresh, & print your reports as wellas save them in Excel, CSV & PDF format.

2. Operating Systems and Web Browsers Supported

The following operating systems and web browsers are supported for BusinessObjects XI:

Operating System Browser

Windows 2000/XP Internet Explorer 6.0 SP1/SP2Firefox 1.04

Mac OS X Safari 1.3

Note: Adobe Acrobat Reader V6 or above must be installed in order to be able to print from BusinessObjects XI 

3. Accessing BusinessObjects XI

BusinessObjects XI will now be accessed via the web using your standard local web browser. All users willconnect to the system through the Administrative Services Tab of UCD Connect. A valid username andpassword is required to access UCDConnect, which is your standard network username and password. Anadditional valid username and password is required to access the BusinessObjects reporting tool.

To Connect to BusinessObjects XI:

Open up a Web Browser (e.g. Internet Explorer) Open the UCD home page at http://www.ucd.ie Enter your UCD Connect username and password (see fig. 1)

4. To log into BusinessObjects you will be required to enter your username and your password.

5. On first login, you will be forced to change your password. Passwords must be alpha-numeric – i.e.must contain a combination of numbers and letters and be at least 6 characters long.

6. You are required to enter your original password, your new password and to confirm the newpassword. Then click Submit. (See fig. 3)

7. The Authentication field should be set to ‘Enterprise’

1. All BusinessObjects reports are stored in the folders in the left-hand panel.

a. My Folders contains reports that only the user can see.b. Public Folders contain all other reports. Access to specific Public Folders is determined by

your account security.

2. The main viewing panel will contain lists of reports, when a folder in the left panel has been selectedor  a specific report once it has been open.

3. Using the search facility it is possible to search for a specific report using the name or part of.

4. Logout using the lock icon in the top right.

1. To open a report click on the name of the folder where the report resides, a listing of the reportscontained in that folder will appear in the main viewing pane

2. Click on a report title & this will open the report.

3. Alternatively search for the report using the ‘Search Title’ facility using a full or part of name of thereport.

5.2 Refreshing a Report

1. To run the report click the ‘Refresh Data’ button

2. If the report contains prompts the prompt dialog box will appear allowing you to enter parameters

3. When you click on the individual prompt in the top section the list of values available to you appear inthe bottom left box. You can select a value from here (double click & it will appear in the bottom rightbox) alternatively you can manually type a value into this box.

4. Once a parameter has been entered for each prompt, click the ‘Run Query’ button

5.3 Printing a Report

1. Printing in BusinessObjects is now done through Adobe Acrobat Reader, which must be installed onyour PC.

2. Go to View|PDF mode to view the report in Adobe Reader

3. Use the print button from the Adobe toolbar (see fig. 9)

4. The print dialog box will appear allowing you to change the print settings as normal

1. Click on the Document button and select Save to my computer as|Excel/PDF/CSV

2. A dialog box appears allowing you to Open, Save or Cancel

3. Open will open the report in the format you have chosen, i.e. Excel, PDF or CSV

4. Save will allow you navigate to a location to place the report & save it in your chosen format

5. Cancel will clear the dialog box.
